Executive Assistant

Job Description:

The primary responsibilities include:

  • Assisting the V.P in day-to-dayoperations and decision making in his absence
  • Co-ordinating / communicatingwith internal and external stakeholders on behalf of the V.P
  • Assisting the V.P inidentifying and evaluating new opportunities, preparing project reports andpresentations
  • Conserves V.P's time byreading, researching, and routing correspondence; drafting emails anddocuments; collecting and analysing information; initiating telecommunications.
  • Maintains appointment scheduleby planning and scheduling meetings, conferences, teleconferences, and travel.
  • Welcomes guests and customersby greeting them, in person or on the telephone; answering or directinginquiries.
  • Prepares reports by collectingand analysing information.
  • Provides historical referenceby developing and utilizing filing and retrieval systems; recording meetingdiscussions.
  • Create financial andstatistical tools and reports using spreadsheets. Analyse and interpretfinancial statistics and other data and produce relevant reports.
  • Monitor tasks delegated by the V.Pto team members on new initiatives to ensure that work is completed to agreeddeadlines
  • Work closely with the V.P toensure that all projects metrics are up to date and ensure relevant managersproduce monthly management reports outlining progress on all projects;
  • Create and manage the V.P'sfiling system for all critical documents
  • Approve decisions, requests,expenditure and recommendations on behalf in his/her absence, according toagreed guidelines and policies.

Qualification:

  • Graduate degree
  • Any certifications instatistical and analytical tools/ methodologies will be preferred
