Job Description Summary

California Times is seeking a passionate Benefit Coordinator to join our close-knit HR Team. Under direct supervision, the person in this role is responsible for assisting employees with benefit enrollment and questions, maintaining employee database and files, and ensuring compliance with required benefit notices as well as creating member-facing benefits collateral. Accountable for day-to-day administration of benefit tasks; gathering monthly billing from carriers and submitting to accounting, mailing of required notices explaining benefits and assisting in the business development and planning processes with service providers.

Job Description

Main Job Responsibilities:
  • Serves as a liaison with third party vendors to process benefit-related transactions, this includes medical, dental, vision, spending accounts, life, disability, retirement, ancillary plans and employee assistance programs
  • Responsible for billing reconciliation and managing submittal of monthly billing
  • Collaborates with the key stakeholders and internal HR team to support various benefit projects such as annual enrollment, benefits audits and vendor file integrations
  • Supports the development of communication strategies and packets necessary for open enrollment
  • Works with HR, employees or managers to review and process required documentation for leave of absence request (medical, work-related, personal) while maintaining tracking systems
  • Assist with compliance tasks and record keeping including but not limited to local ordinances, Federal and State Labor Law postings, communication and documentation requirements, Discrimination Testing, legal requirements and government reporting regulations, and benefit plan audit and compliance
  • Maintains accurate process documentation and records related to benefit-related transactions and systems
  • Supports the benefit analyst with audits
  • Calculates and coordinates benefit premium collection during leave of absence and arrears premiums after leave of absence
  • Runs benefit related bi-weekly payroll audits
  • May participate in employee new hire orientation to present or answer benefit-related questions
  • Undertakes the responsibilities of the role using the tools, software or technologies that may be available or required at the time
  • Other duties as assigned
Minimum Qualification:
  • Ability to handle and maintain confidential information
  • Proven problem-solving skills
  • Excellent written, verbal communication and organizational and time management skills
  • Proficient with Microsoft Office, Google Workspace or similar software
  • Experience compiling and managing large amounts of data
  • Familiarity with payroll and benefit software / systems
  • Previous experience managing the process to ensure the timely payment of benefit related invoices and maintain payment logs
  • Confidence presenting benefit material to various audiences
  • Strong attention to detail
Preferred Qualifications:
  • Bachelor's degree in Human Resources, Finance, Accounting or business-related field preferred or equivalent combination of technical and functional experience
  • Experience with Workday and benefit administration system
  • Previous experience with benefit administration
Prefer a local candidate in Los Angeles or San Diego, that is available to commute to the office at least 4x a month. This role may require local travel during the business day.

The pay scale for this position is $60,490 to $62,400. This is the pay scale range the Company reasonably expects to pay for this position at the time of this posting. Compensation will be determined based on skills, qualifications and experience of the applicant along with the requirements of the position.
