PURPOSE OF THE JOB

Under the direction of the Chief Operation Officer, the Receptionist performs administrative functions, including receiving visitors, answering phone calls, and supporting public meetings. The ideal candidate will have strong attention to detail and problem-solving skills.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Welcome guests, register them and direct them to the appropriate person or place.
  • Answer, screen, and forward incoming phone calls, including providing coverage for the constituent services line as required; take and deliver messages.
  • Maintain forward-facing operator email box. Ensure that all messages are distributed timely and appropriately or followed up on as necessary.
  • Ensure reception areas are tidy and presentable with all necessary materials (e.g., pens, forms, and brochures)
  • Provide accurate information in response to constituent in-person, phone, and email inquiries.
  • Receive, sort, and distribute daily mail and deliveries.
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Work with the Office Manager to maintain, order, and distribute supplies.
  • Provide room scheduling, set up, and clean up for in-person public meetings and conferences.
  • Keep updated records of office expenses and costs.
  • Perform other clerical duties such as managing paper and electronic files, updating standard operating procedures, and supporting financial tasks, such as tracking supply inventory and budgeting.
  • Requires occasional work in the Boston office.

Qualifications

EDUCATION AND EXPERIENCE

  • High school degree; additional certification in Office Management is a plus
  • Proven work experience as a Receptionist, Front Office Representative, or similar role
  • Proficiency in Microsoft Office, including Teams.
  • Hands-on experience with office equipment (e.g., printers and mail machines)
  • Professional attitude and appearance
  • Solid communication skills
  • Ability to work independently and anticipate challenges

Salary Range: $40,000 - $50,000

Benefits Package:

The Commission is pleased to offer a comprehensive benefits package to its employees. The specific components and eligibility may vary based on position classification, hours worked per week, and other variables. Therefore, specific benefits for this position may be discussed as part of the interview and offer process.

This position is non-civil service. This position is an exempt position.

The overall benefits available include paid vacation, sick and personal leave time, health, dental, and vision insurance through the Commonwealth's Group Insurance, and optional pre-tax Health Savings Account plans.

In addition, the Commission provides employees the opportunity to elect life insurance, long-term disability insurance, deferred compensation savings, tuition remission, and pre-tax commuter account plans, along with other programs.

The Commission employees also participate in the Commonwealth's State Retirement Plan, which can become a defined benefit plan for those that both vest and subsequently retire from State service.
