Think of yourself as a “mini-me” of your executive, a subject matter expert, a decision maker, and an air traffic controller. So not just anyone is qualified for this role! Now we need your full concentration because it’s time to imagine what it’s like being an Executive Assistant.

As you tackle your new tasks for the day, you know that it comes down to one thing: that you’re a direct reflection of your executive and you're responsible for their productivity as well as their teams.

As an Executive Assistant, Your day will usually go around checking your calendar for today’s agenda. In terms of their calendar, you must keep in mind that your executive’s time is precious and limited so you need to know what’s important and how to balance it all. Meanwhile, in terms of emails, you’re exposed daily to highly confidential information so you’re expected to be tactful and pragmatic. Expect that you will be doing a lot of tasks which includes getting coffee, to implementing company-wide initiatives, to pretty much coordinating with everyone. So prepare to be resourceful to make things happen!

What else? You must also make presentations and take notes as you will have to capture the keynotes and log key action items.  You will also be a gatekeeper and also someone who is not afraid to chase down people for information (in Philippines, US, or wherever).  Your work hours will vary in some way it would be sort of split shift where they work early morning Philippine time into the afternoon so as to cover the US afternoon and then part of the Philippine day, but the hours may change time to time, depending on what major activities are going on with IT at the time.  

So, do you have what it takes to become an Executive Assistant?

Requirements:

So what is it we’re looking for? Well since this an EA post, we need someone who can act as a “gatekeeper” for the executive’s professional life. It’s also key that you will be able to handle administrative duties, that you can collaborate well with other key members of the organization globally, and you can gravitate towards action and urgency when accomplishing tasks. We need someone who has at least 4 years of experience, an IT graduate or someone knowledgeable when it comes to technical skills.

Let’s be technical. We need someone with technical skills or at least able to learn technical concepts and also be able to use Excel/Sheets and Slides proficiently. Someone who is knowledgeable in creating/updating reports and also taking raw data and helping to create one-page slide decks. We need someone who’s knowledgeable in presentation, communication, and interpersonal skills. Also, we need someone who can navigate his/her way in different Google and Microsoft applications.

We need someone who’s highly motivated and independent with a commitment to oversee projects. We also need someone who’s organized and can work with grace under pressure.
