Executive Assistant to the Chief Information Officer

TAMKO Building Products, Inc. is seeking an Executive Assistant for its offices in Irving, Texas. The Executive Assistant will work directly for the Chief Information Officer and will be responsible for performing a number of planning, organizing and administrative duties. The ideal candidate is self-motivated, professional, and capable of managing his/her work load and prioritizing tasks in a fast-paced corporate environment.

  • Provides organizational, research, drafting and clerical support for a variety of matters related to Information Technology.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CIO, including those of a sensitive or confidential nature.
  • Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the CIO, some of which may have organizational impact.
  • Prepares presentations and periodic reports on Information Technology
  • Assist the expansion of the workplace including design and build, to accommodate an expanding and changing office workforce
  • Coordinates the human capital changes within IT including the logistics of hiring and changes such as setting up interviews, organizing potential candidates, and working with recruiting agencies
  • Coordinates with legal and human resources in the planning and hiring of IT resources including the creation of technical job descriptions and coordination of Visa paperwork and applications.
  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings
  • Works with management and staff involved in all aspects of Manufacturing, Sales and Corporate Administration.
  • Prepares, reviews, and monitors outgoing mail and correspondence, including e-mail, presentations, and other forms of documentation
  • Orders and maintains supplies, and arranges for equipment maintenance for the Irving office
  • Coordinates manager's schedule and makes appointments.
  • Reads and routes incoming mail.
  • Composes and generates routine correspondence.
  • Greets scheduled visitors and directs to appropriate area or person.

Position Requirements:
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, executive management, and external partners
  • Expert level written and verbal communication skills
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Emotional maturity and team-player, with the ability to also be extremely effective independently
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), and Adobe Acrobat
  • Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.

Desired Skills:
  • Experience in Information Technology environment and terminology. Understanding of IT terms and the ability to translate these terms into IT presentations, job descriptions, and documentation.
  • Proficient in Social Media web platforms.

  • While performing the duties of this Job, the employee is regularly required to remain in a stationary position for long periods. The employee is frequently required to operate a computer and other office equipment, such as a copy machine, calculator, and computer printer. The employee needs to occasionally move about inside the office to access file cabinets, office machinery, greet visitors, attend meetings, etc. The employee must occasionally move up to 25 pounds.
  • The noise level in the work environment is usually quiet.
