Facilities Coordinator

Overview

The Facilities Coordinator (FC) provides ongoing support to a Facilities Manager (FM) within a specified Sunrun region.  A primary function of the role is to support the FM in office openings, moves, remodels, reorganizations and closures. Typical tasks include vendor contract set-up and payment administration, office branding, ordering and setting up office furniture, and setting up office services such as utilities, trash, drinking water, office supplies, and HVAC maintenance.

 

The FC will be responsible for adhering to department budget and communicating variances to budget. The position will coordinate ongoing maintenance and repair of all locations in the assigned region and support FM in maintaining the building security program. The FC will take the lead as the day to day facilities point of contact for landlords and tenants, internal customers and vendors. A key to effectiveness in the role is engaging in regular communication with cross functional departments.

Responsibilities

Facilities Project Support

  • Support FM in performing all tasks related to opening, closing, moving or remodeling branch locations
  • Provide onsite support as requested by FM

Facilities Maintenance

  • Coordinate facility maintenance needs
  • Schedule and oversee repairs
  • Provide Facilities preventative maintenance system support
  • Dispatch and resolve facilities tickets
  • Provide building security administration 

Customer Service

  • Develop positive relationships with key internal customers (employee base)
  • Provide an environment supporting a positive employee experience

Budget and Financial Administration

  • Provide budget administrations support
  • Coordinate branch service set-up (utilities etc.)
  • Oversee invoice processing
  • Provide invoice dispute resolution support

Vendor and Contract Administration 

  • Corporate contract system administration
  • Oversee contract execution and distribution
  • Ensure contract processes adhere to corporate policy 
  • Provide certificate of insurance administration 
  • Support vendor insurance compliance
  • Coordinate vendor set up and onboarding

 

Qualifications

  • High school diploma or greater
  • Associates degree in facilities management, business or other related field preferred
  • 3 to 7 years related office, facilities or property administration
  • Intermediate to strong level experience with Microsoft Suite (Word, Excel, etc.)
  • Professional written and verbal communication skills
  • Working knowledge of Oracle, Prolease and Contract Management (Spring CM) preferred
  • Proven experience in creating an excellent employee experience with strong customer service background
  • Strong organizational, time management and problem solving skills
  • Ability to work professionally with sensitive information
  • Ability to work independently
  • Ability to follow and inform business processes
  • Familiarity with budgets
  • Ability to travel 10%-30%

Physical Demands 

  • Ability to perform normal office duties
  • Ability to operate office equipment including computers
  • Ability to interact and participate in meetings
  • Ability to work safely in a warehouse environment
  • Ability to transport materials and equipment to complete assigned job tasks (up to 50 pounds frequently and up to 100 pounds with assistance)
