Workplace Services Coordinator (LA)

Squarespace is seeking a Workplace Services Coordinator to help develop our new Los Angeles office's facilities, operations, and overall employee experience. You will wear a variety of hats, playing a critical role in ensuring a great office culture by being the go to person for daily workplace needs. In this hybrid role, no two days are ever the same! You will be the face of our LA office acting as the sole workplace site representative, office coordinator, local IT support liaison, and events assistant. We're looking for someone with a creative, customer-centric mindset who thrives in an autonomous, fast-paced environment that is excited to help manage the workplace experience for a growing office.

You will report to our Workplace Services Lead in Portland, OR and is based in our Los Angeles, CA area office (Playa Vista).

RESPONSIBILITIES
  • Partner with the Workplace Services Lead (based in Portland, OR) to help coordinate facilities related operations (e.g. creating preventative office maintenance including HVAC maintenance, carpet/floor cleaning, repair scheduling) and maintain an up-to-date Facilities and Operations Manual. 
  • Manage the front desk: you will pride yourself on embodying our culture by promoting a positive and welcoming environment. As the face of Squarespace's LA office, you will set the tone for everyone walking through our doors. 
  • Aid in full lifecycle vendor management: reviewing and creating vendor service agreements and contracts, onboarding/offboarding vendors and contractors, maintaining certificates of insurance, and managing overall vendor relationship. 
  • Help with space planning and seat mapping processes from end-to-end.
  • Provide operational and administrative Workplace Services support: tracking operating budget, submitting purchase orders, reviewing and approving invoices, and maintaining accurate record keeping.
  • Coordinate food and beverage program, partnering with suppliers on menu, budget, and inventory.
  • Monitor and respond to the administrative and operational needs of the office-arranging the LA team's daily work requests and deliverables.
  • Coordinate experience-focused responsibilities for the office (e.g., office happy hours, Meetups) and facilitating feedback touch points (e.g., 1-on-1 meetings, focus groups, pulse surveys) to analyze/report on trends for service improvement.
  • Be a local IT liaison/support: Helping run, update, and train users on global video conferencing solutions and other telecommunications channels. Assisting employees and guests with A/V office needs. Aiding in asset management, including purchasing and setup (computers, monitors, other hardware, software licenses , etc. ).
  • Help with new hire setup. Organizing badges, new hire swag, and building access.

QUALIFICATIONS
  • 2+ years working in a facilities operational capacity.
  • Experience forming relationships, leading negotiations, and creating contracts with vendors.
  • Experience analyzing cost per square foot& cost per desk.
  • Project management skills. 
  • Advanced Excel (can maintain complex spreadsheets) and Google Apps experience.
  • Bonus Experience ( not required, but shout out about in your application if you have experience ): Adobe Suite, Atlassian's Service Desk / JIRA ticketing system, OfficeSpace Software, Google Meet and Zoom video conferencing software, or Coupa.
