Position Summary

Maintenance of customer account trial balance, release orders, and customer service for the HA division. Responsible for one of the largest HA accounts, consumer level reconciliation. Must be able to handle thousands of lines of data, identify trends and identify gaps to resolve recurring issues

Role and Responsibilities

• Maintaining current ATB, customer service & obtain POD's for invoices when necessary, Reconcile and resolve credit balances, Resolve and avoid past due balances, and investigate all chargeback's for the client account. Accuracy of data is most critical and must be adhered to in order to manage all of this data.

• Ensure line items on the client account are properly coded for clearing and matching of chargeback's and credits in SAP; update SAP with the latest information from sales and customers as needed.

• Log in to client's Portal on a daily basis to review anticipated deductions and obtain payment information for upcoming payments in order to update invoice line items in SAP

• Obtain back-up information for shortages, RTV, pricing, trade discounts and freight on client's Portal, email and verbal communications

• Email the appropriate contacts at client site for debit memo and back-up information for vendor compliances, audits and promotional chargebacks

• Provide the client with a monthly statement to resolve outstanding discrepancies and ensure that all issues are addressed with the client within the required audit time period

• Work closely on a daily basis with warehouse for POD issues to resolve outstanding chargebacks, past due invoices and returns for the client. Identify for contractors items that they must focus on to keep account current and minimal discrepancies.

• Handle SCES headquarter reporting, chargebacks reporting, invoices reporting and heavy account reconciliation

• Understand all account processes and supply coverage for manager and guide department team members when manager is out of office

• Must be able to identify and investigate problems within the process and system to resolve the issues, clearly communicate issue and provide ideas for solutions to resolve problems.

• Interact with various departments to ensure proper work flow, identify and resolve process gaps to ensure continuity and smooth transactional flow.

• Continuous follow up on credit memos to clear chargeback's as well as resolve any open credit balances

• Handle special projects assigned by management and provide weekly updates.

• Excel reporting using pivot tables and VLOOKUP.

Skills and Qualifications

• Bachelor's degree in Accounting or Finance required

• 5+years' experience
• Strong customer service skills
• Solid analytical and problem solving skills
• Ability to identify discrepancies and inconsistencies

• An eye for details & ability to think outside the box
• Solid Microsoft Office skills (Word & Excel) Vlookup and Pivot tables
