Job Summary

We're seeking an energetic, assertive, enthusiastic, tech-savvy Executive Assistant for our legal team. Helping to make the team more effective and efficient is the primary responsibility. Flexibility, a sense of urgency and attention to detail are critical success factors. This position requires high-level administrative expertise with a willingness to pitch in and do what's needed in a dynamic, fast-paced environment.


Essential Functions

  • Manage correspondence for meetings, preparation of background briefings, note documentation and periodic reporting activities
  • Some scheduling and calendar management
  • Prioritize meeting requests working proactively to identify and mitigate schedule conflicts
  • Preparation of ad hoc reports, presentations, documents and other correspondence
  • Correspondence with internal and external contacts, and the distribution of documents
  • Preparation and distribution of reports and correspondence
  • Prepare presentation materials at an executive level
  • Manages information of the highest level of confidentiality
  • Prepare folders/organization process in order to make each day smooth and efficient
  • Other administrative support as needed


Essential Skills

  • 3+ years’ experience of Administrative support experience in the legal field
  • Ability to juggle and multi task and not lose track of multiple schedules and assignments
  • Legal support background preferred
  • Knowledge or real estate or leasing language a plus
  • Ability to anticipate tasks and how to do them
  • Ability to maintain confidentiality
  • Self-confidence, sensitivity, a cooperative attitude, tact
  • Strong organizational skills
  • Draft and edit correspondence with precision
  • Excellent communication skills
  • Advanced skills in Word, Excel and PowerPoint
  • Works well under pressure
  • Good attendance and ability to work long hours, as needed
  • Able to judge priorities
