What You'll Do/Need

We're seeking an energetic, assertive, enthusiastic, tech-savvy Executive Assistant for our VP of Marketing. The primary responsibility is helping to make the team more effective and efficient. Flexibility, a sense of urgency and attention to detail are critical success factors. This position requires high-level administrative expertise with a willingness to pitch in and do what's needed in a dynamic, fast-paced environment.



  • Manage email for the VP of Marketing, including drafting responses, clearing out junk email and distributing to other team members as necessary
  • Manage correspondence for meetings, prepare background briefs, documents and reports
  • Make personal and business travel arrangements, including the creation of itineraries, flight and hotel accommodations
  • Prepare ad hoc reports, presentations, documents and other correspondence
  • Communicate with internal and external contacts and distribute documents
  • Manage schedules, including workflow planning and calendar coordination
  • Prioritize meeting requests and work proactively to identify and mitigate scheduling conflicts
  • Conduct research and manage projects as requested
  • Prepare and distribute reports and correspondence
  • Prepare presentation materials at an executive level
  • Manage information with the highest level of confidentiality
  • Prepare folders and an organization process in order to make each day smooth and efficient


  • Three years of experience in an administrative role
  • Strong organizational skills
  • Excellent verbal and written communication skills
  • Advanced skills in the Microsoft Office suite
  • Ability to juggle and multi task and not lose track of multiple schedules and assignments
  • Ability to maintain confidentiality and work well under pressure
  • Good attendance and ability to work long hours, as needed
  • Ability to judge priorities
  • Assist with personal errands and tasks
