Store Design & Visuals Studio Coordinator - CALVIN KLEIN

The Store Design & Visuals Studio Coordinator provides multi-task support to the Store Planning and Visual Department's VP's and staff. Serves as the department's liaison to other business groups and outside vendors. Works closely with EVP/SVP's Administrative Assistants to coordinate departmental meetings and other initiatives. The Coordinator is also responsible for processing billing for both departments and general day-to-day upkeep and support of the design studio. This role is an essential backbone to the studio team and plays a critical role in the success of the design studio's projects.


  • Assist in maintaining departmental filing procedures and office standards
  • Tracks and reconciles departmental expenses, processes invoices and liaises with AP. Maintains budget log.
  • Coordinates travel for (~5) VP's
  • Prepares expense reports for (~5) VP's
  • Maintains department-wide calendar for large meetings, PTO, travel, critical design deadlines and milestones
  • Coordinates weekly department meeting and issues notes, updates schedule (Must keep track and be aware of who is working on what).
  • Onboarding Support for New Staff (set up desk, liaise with IT and other groups, set up intro meetings and training for office systems).
  • Coordinate central sourcing of VM Components, maintain relationships with outside vendors
  • Assist in preparing the studio or meeting rooms for design reviews
  • Attends meetings as requested by management, takes necessary notes/minutes
  • Sterling Ruby Art and Furniture Inventory Tracking
  • Maintain Global Store List Database
  • Basic Project Management Schedule Tracking
  • Issue regular (monthly or quarterly) studio updates and communications to business partners or regional teams, including design updates, music updates, and other announcements
  • Create and issue well-drafted and designed correspondence, presentations, memos or charts to represent the design studio.
  • Coordinate PR requests from outside parties
  • Materials Library Cataloging and Upkeep
  • May perform administrative assistant-like tasks on an as-needed basis, provide general support help to studio staff.
  • Assist studio staff in scheduling of meetings and greeting guests when required
  • Organize and maintain supply closets and coordinate orders of supplies


  • 5+ years of experience in a coordinator or admin role, preferably from a Design Studio setting (Architecture, Interior Design, Fashion)
  • Experience with Budget Tracking and Invoice Processing
  • Experience with Vendor/Consultant Proposals & Contracts, maintaining relationships with vendors
  • Preferable Experience with architectural or interior design concepts
  • Preferable Experience with Project Management Software or scheduling (Gantt Charts)

  • Bachelor's Degree in related field (Architecture, Design, Fashion, Management or Business)

  • Excellent communication and interpersonal skills
  • Excellent computer skills - Microsoft Office, Excel, Powerpoint, Adobe Photoshop, Adobe InDesign required. Must be able to draft professional documents for distribution throughout the company.
  • Ability to communicate with all levels of management and maintain confidential information
