Administrative Assistant - CALVIN KLEIN

Responsible for administrative functions of the SVP, resolving as many matters as possible in order to free executive from unnecessary involvement in the routine, day-to-day details of the office.

PRIMARY RESPONSIBILITIES/ACCOUNTABILITIES OF THE JOB:

  • Assist SVP with day to day administrative tasks
  • Filter incoming emails and calls; Understand the SVP's priorities and reply on behalf of the SVP when appropriate. Handle any matters not requiring a decision or action of the SVP.
  • Calendar management; understand and prioritize meeting requests.
  • Make travel arrangements and be on-call when SVP is away
  • Complete expense reports for the SVP
  • Review incoming expense reports for the SVP's approval
  • Assist in filing data as needed
  • Organize meetings and prepare meeting rooms as required.
  • Maintain schedule of meeting rooms for the SVP and department.
  • Take a proactive role in understanding the function of the SVP's team and department, act as a liaison between the SVP and staff when needed.
  • Coordinate with other staff members to gather information as needed for the SVP.
  • Ensure the utmost confidentiality of any data pertaining to sensitive information
  • Attend meetings as required to record and distribute minutes
  • Execute other associated responsibilities as directed
  • Can be expected to perform computer related activities up to 40 hours per week to include such activities as correspondence, reports, analysis, and data entry
  • Maintain key magazine/website subscriptions
  • Liaise closely with the Studio Coordinator regarding office operations and resources

QUALIFICATIONS & EXPERIENCE:

Experience:
  • 2-3 years of experience in an administrative role, preferably from a Design Studio setting (Architecture, Interior Design, Fashion)
  • Preferable Experience reviewing business proposals, documents, or contracts to summarize key info to the SVP.

Education:
  • Bachelor's Degree in related field (Architecture, Design, Fashion, Management or Business)
Skills:
  • Excellent communication and interpersonal skills
  • Excellent computer skills - Microsoft Office, Excel, Powerpoint, Adobe Photoshop, Adobe InDesign required. Must be able to draft professional documents for distribution throughout the company.
  • Ability to communicate with all levels of management and maintain confidential information
  • Must be highly organized and be able to respond to requests quickly- understand who to ask when more information is needed.
