Retirement Plan Manager

Based at The Priceline Group’s headquarters in Norwalk, Connecticut and reporting to the VP, HR, the role of the Retirement Manager will include 401(k) plan design, coordinating and facilitating committee meetings, plan administration and investments, plan compliance and financial management of the plan.  Additionally the Retirement Manager will work on HR special projects and other tasks assigned by the VP, HR.  This role will be responsible specifically for:

401(k) Plan Design

  • Remaining current on industry trends to ensure competitive programs are in place
  • Reporting to the 401(k) Plan Committee and management regarding trends and effectiveness of plans
  • Developing, recommending and implementing new or modified plans, policies and amendments
  • Managing plan design with the recordkeeper and legal counsel
  • Managing and/or merging plans of acquired companies
  • Working with legal counsel to ensure the plan document remains compliant

401(k) Plan Committee

  • Managing the 401(k) Plan Committee (Committee)
  • Working with legal counsel to develop updated by-laws/charter for the Committee
  • Organizing quarterly and other Committee meetings
  • Coordinating and facilitating Committee meetings

401(k) Plan Administration and Investments

  • Managing all 401(k) Plan operations
  • Building and maintaining strong relationships with recordkeeper, investment advisor, legal cousel and subs
  • Overseeing the recordkeeper and plan administration, including day-to-day functions; enrollment; deferral election, rollover, loan, withdrawal and distribution processing
  • Managing day-to-day plan administration for Corporate employees (approximately 50)
  • Working with recordkeeper to develop annual, ongoing employee communications plan, including communications for newly eligible employees and open enrollment
  • Working with recordkeeper and legal counsel to develop and distribute legally–required notices
  • Working with investment advisor to plan meetings and coordinate investment fund updates
  • Working with recordkeeper and investment advisor to develop and execute employee education programs for the 401(k) Plan
  • Communicating all plan changes timely to subsidiaries
  • Acting as main resource for subsidiary 401(k) questions/issues

Plan Compliance

  • Ensuring that the plan complies with federal, state and local legal, tax and accounting requirements (must be familiar with applicable legislation, obtain opinions from legal counsel, enforce adherence to requirements, and advise management on necessary actions)
  • Develop controls across subsidiaries
  • Coordinating with subsidiary finance/payroll to ensure pay codes in their respective payroll systems are appropriately coded, including reviewing any new pay codes for inclusion within 401(k) Plan “compensation”
  • Ensuring subsidiaries are updating employee pay records and are current including, but not limited to, inactive/unpaid employees (e.g., an employee out for FMLA)
  • Ensuring all employees are entered/terminated within recordkeeper’s portal on a timely basis by all subsidiaries
  • Ensuring all employee data is updated within recordkeeper’s portal on a timely basis by all subsidiaries, including address updates and division worked
  • Ensuring all subsidiaries are funding employee deferrals, loan repayments and employer matching contributions on a timely basis
  • Coordinating nondiscrimination testing on annual or as-needed basis
  • Conduct periodic internal plan reviews across all subsidiaries within the Priceline Group, including checking selected test groups
  • Identifying areas of concern with compliance, and initiating corrective actions
  • Managing completion of Form 5500
  • Preparing annual 401(k) financials and reconciliations, including working with subsidiaries to obtain payroll data
  • Ensuring all plan notifications including SARs are posted and distributed in accordance with the law
  • Working with external auditors on audit related issues/requests pertaining to the 401(k) Plan across all subsidiaries

Financial Management

  • Analyzing 401(k) Plan and predicting future costs
  • Preparing and maintaining operational budget, scheduling expenditures, and analyzing variances
  • Working closely with Finance to help ensure appropriate accounting and disclosure for the 401(k) Plan

Qualifications:

Education and Training

  • Bachelor's degree or beyond from an accredited college or university in human resources, finance, tax or accounting
  • CEBS/GBA/SPHR/GPHR certification preferred

Skills and Experience

  • 6-8 years demonstrated experience managing all elements of a 401(k) plan
  • Payroll experience a plus
  • Knowledge, understanding and previous application of US ERISA law  
  • Strong analytical, quantitative, project management and organizational skills
  • Strong oral/written communication skills, including presentation planning and delivery
  • Strong Microsoft Excel skills
  • Experience running a 401k plan administrative committee a plus; must be comfortable doing so in this role
  • Ability to advise on vendor selection and make recommendations to the Committee
  • Able to work well in fast-paced environment across multiple global subsidiaries with the ability to embrace change and thrive in ambiguity
