Administrative Assistant

Administrative Position Description: We are looking for an Administrative Assistant to support daily and seasonal back-office operations across all program offerings, which include after school programs, summer camps and school-based residencies. The Administrative Assistant reports to the CEO and assists on a variety of needs ranging from program registration, permitting and invoicing, payroll services, and coordination of the recruiting, interview and onboarding process.

Additionally, the Administrative Assistant provides administrative support in the form of office management, database administration, report generation, customer service and communications for site-based programs such as summer camps and after school classes.

The Ideal Administrative Assistant is:
A polished professional with a college degree with previous experience in an office/administrative setting, preferably in an educational field
Passion for education and inspiring a love of reading in young students
Knowledge/interest in new business and brand development for a rapidly expanding company
An honest, clear and effective communicator who can be an asset to the team
Clearly articulated customer service orientation
Proficient in Excel, Word, Google Suite (Docs, Sheets, Drive, etc.)
Proficient with file management, word processing, spreadsheets, analyzing data and creating new systems and learning technologies
Process oriented and able to establish and follow a structured approach
Extremely organized with great attention to detail and the accuracy needed for producing high quality work
Highly motivated and able to work independently to complete tasks effectively and efficiently
Calm and decisive under pressure; able to quickly take action to overcome obstacles
Skilled and experienced at finding creative solutions to problems
* Familiar with Social Media platforms (Facebook, Instagram) and Wordpress (web and blog) a plus

RESPONSIBILITIES:

  • Administration
  • Manage Google Drive and digital asset organization
  • Coordinate with Program Directors on supply orders and inventory
  • Field calls to office phone and respond to messages as needed
  • General office management
  • Human Resources and Accounting
  • Process employee payroll, reimbursements and contractor invoices
  • Assist with recruiting and onboarding processes
  • Coordinate posts to company website and job websites
  • Registration/Customer Service:
  • Manage online registration system for all programs
  • Waitlist registration/communication
  • Create registration reports and generate related spreadsheets and documents
  • Respond and handle customer inquiries and issues with online registrations
