Administrative Assistant – Management Consulting

Your role.

Your work will include, but not be limited to:

  • Assists National Leader of the Private Equity Practice (PEG) with e-mail and calendar management, expense reporting, travel arrangements, etc.
  • Assists with planning and implementation around the PEG national marketing events, including:
  • Event registrations and event spreadsheet management
  • Travel (hotel, car rental, flights for partner)
  • Hospitality events (venue and menu selection; communication)
  • Booth fulfillment
  • Invoice processing
  • Calendar management (invitations, responses, etc.)
  • Maintains expert level of knowledge in CRM and capable of training practice staff in appropriate use of systems to support practice development efforts.
  • Assist with the production of client or Firm deliverables, such as proposals, presentations, reports, and spreadsheets
  • Arrange for conference rooms (including needed equipment and/or conference and video calls, catered meal arrangements, set-up, clean-up, etc.
  • Other practice-specific meeting and event coordination, including heavy travel for partners and staff
  • Create and review client invoices utilizing hours and expense detail in firm management system
  • May assist with some administrative projects (some complex), for a team or industry group, primarily related to a specific organizational function; responsible for frequent communications with all levels in the organization

The qualifications.

  • HS Diploma or GED equivalent required. Higher level education/college coursework preferred
  • Proven administrative and organizational, and time management skills, with a strong work ethic
  • 5-10 years of experience working in an administrative or executive administrative role preferably for a professional services organization
  • Superior oral and written communication skills and a focus on client service, together with the ability to exercise independent judgment, initiative while maintaining high confidentiality
  • Solid technical proficiency including knowledge of MS Office applications (particularly Word, Excel, PowerPoint and Outlook)
  • Professional demeanor with excellent customer service and interpersonal skills
  • Some travel out-of-state required to national PEG venues.
