Job Description

The Customer Order Specialist will be responsible for designing and optimizing order management & customer service process aligned with go-to-market channels for the Professional Lighting business. This person will help ensure smooth execution of Professional Lighting projects from PO to project billing.

Key Responsibilities:

Project Management

  • Project lead – Manage and ensure smooth execution and operation of entire Project Flow (From PO to project billing)
  • Provide support to Key Account Managers (KAMs) for Mock-ups (manage site situations, propose alternative products) and Testing and Commissioning
  • Oversee coordination for S&S (Systems & Services) projects

Customer / Stakeholder Management

  • Main customer liaison after PO handover—contact point for customer / product-related issues
  • Provide support to KAMs in achieving monthly sales targets
  • Manage customer expectation on product lead times
  • Assist in related administrative work and the resolution of AR issues

Delivery Schedule Management

  • Set up, manage and maintain project specific delivery schedules
  • Coordinate with KAMs, customers, supply planners and 3rd party logistic partners to warrant timely and accurate deliveries and for other related arrangements

SAP Order Management

  • Manage project and product data in SAP
  • Coordinate product deliveries in SAP

Inventory Management

  • Booking Review lead (project specific) – Regular reviews with KAMs for product Bookings
  • Mitigation of cost increments w.r.t. customer-mandated product changes and tight lead time requirements
  • Maintaining inventory levels and delivery times within targets
  • Review of bi-monthly billing / sales plans vs procurement plans

Key Requirements & Competencies:

  • Degree/Diploma holder with 3+ years of customer handling experience and project order execution
  • Proven ability/hands-on experience handling order acquisition and working closely and directly with sales teams
  • Experience in the practical use of customer service tools
  • Strong understanding of customer order execution cycle including warehousing and transportation activities
  • Strong customer orientation
  • Speed & execution mindset
  • Systems savvy (SAP, other ERP Systems)
  • Strong communication skills with the ability to deal with multiple stakeholders
