Responsibilities:

  • Manage calendar, global travel arrangements, and expense reporting
  • Screen incoming telephone calls; receive visitors; schedule and coordinate conferences and meetings (on- and off-site); prepare agendas and presentation materials
  • Assist in the editing, coordination and preparation of materials for Board and committee meetings
  • Proactively engage with staff to confirm deliverables are completed and meet executive's expectations
  • Undertake special projects requiring a high degree of confidentiality and accuracy
  • Manage monthly outside provider billing and expense accrual reporting
  • Interface with third party service providers to assist in benefits coordination
  • Prepare and edit correspondence, documents reports, presentations, and spreadsheets
  • Exercise discretion, sound judgment, tact, and diplomacy in all communications

Job Requirements :

  • 5-7 years' experience supporting senior level executives, managing multiple calendars & schedules
  • Exceptional computer skills, including a very high level of proficiency in Microsoft Office (Word, PowerPoint, Outlook, Excel, Access)
  • Bachelor's or equivalent education and experience required
  • Comfortably and effectively communicates at all levels of the organization
  • Willingness & ability to work irregular hours on occasion
  • Demonstrated excellence in organizational and time management skills
  • Excellent verbal and written communication skills; showcases professional demeanor
