Overview

PepsiCo Labs is the Startup incubation and Tech Venturing arm of PepsiCo. The Labs team focuses on discovering and testing cutting edge technologies across the value chain from seed to shelf. This includes a wide array of areas such as Agriculture, Manufacturing, Warehousing, Fleet, Sales, and Marketing.

The PepsiCo Labs team partners with the business functions to define the most pressing business needs, scout externally for start-up solutions and run rapid pilots. For the successful pilots, PepsiCo Labs forges business relationships with the startups via commercial and/or venture terms and then helps the business scale the cutting-edge solutions across the organization.

  1. Provide administrative support to the PepsiCo Labs team and the VP product

Responsibilities

1. Provide administrative support to the PepsiCo Labs team and the VP product

  • Manage and maintain calendars for VPs and Directors
  • Schedule cross-functional meetings across the organization and with external vendors/startups
  • Manage communications through phone, email, mail and online collaboration tools like Slack, MS Teams, and Zoom
  • Support the management and organization of knowledge assets (e.g., documents, surveys, workflows) in MS Teams and MS Sharepoint
  • Manage PO/invoice payments in a timely manner
  • Maintain organizational charts, phone lists, email distribution lists and other team information
  • Plan international/domestic travel (when applicable).
  • Manage, prepare, and submit all expense reports
  • Provide general support to visiting teams or visitors
  • Collaborate with the other executive Admin

2. Provide high-level administrative support for the PepsiCo Labs team

  • Coordinate logistics for executive immersions to visit startup eco-systems (Israel / Silicon Valley)
    g., meeting locations in PEP offices, at Venture Capital firm offices, Startup offices etc.), reserve hotels, restaurants, and night activities; attain Visa/Security letters for relevant visitors, coordinate VIP transfer service to/from the airport for a smooth arrival and departure
  • Coordinate logistics for Startup-program kick-offs
    g., Coordinate locations of meetings and room bookings, reserve blocks for hotels, restaurants, and night activities, Coordinate expenses for visiting startups (vouchers etc.)
  • Manage and coordinate logistics for global leadership and group meetings
  • Prepare basic reports and correspondence
  • Maintain administrative tasks for the PepsiCo Labs website (https://labs.pepsico.com)
  • Help upkeep Monday.com database of startups, Venture Capital firms and pilots

3. Manage administrative tasks to upkeep the Israel entity

  • Liaise between vendors & accounting to ensure timely payment to local vendors (e.g., vendor setup in SAP system, payment and follow up)
  • Legal entity Israel - documents, legal payment fees, signatures
  • Accounting: enter Purchase Requests for local team (PepsiCo Labs, Alejandro - R&D & Liora - Beverages)
  • Maintain accounting database: POs, Receipts, add/edit vendors in system, vendor resolution for payments and invoices, reporting

Qualifications

  • 6+ years experience in an administrative position at an executive level
  • Advanced/Proficient Computer Skills (Outlook, Word, Power Point, Excel, Teams)
  • Experience with knowledge management and collaboration platforms like Slack, Sharepoint and MS Teams is a plus
  • Ability to use SAP for invoicing
  • Systems capability and knowledge to handle large scale approval/permissions requests
  • Excellent written and oral communications skills
  • Ability to balance and prioritize workload across teams
  • Ability to handle extremely sensitive and business confidential information
  • Ability to work independently and within a team
  • Proactive in anticipating needs, prioritizing, and responding to them
  • Flexible and able to work under pressure to include tight deadlines and multiple projects with strong organizational skills
  • Strong attention to detail
  • English - fluent/mother tongue
