Morning Receptionist/HR Assistant

Overview

Ogilvy is a fun and fast-paced advertising agency full of makers and creators.

Our Morning Receptionist/HR Assistant will be the primary point of contact for a number of our employees and clients and will provide administrative, operational and reception support. He/she will provide superior support in prioritizing and creating an organizational process that will help our team meet project timelines and deliverables.

Responsibilities

This position requires a detail oriented, team player who is highly deadline-driven, with strong multitasking and prioritization skills.

Responsibilities include:

  • Greet all incoming guests in warm and welcoming manner
  • Set up meeting rooms with refreshments and materials as required
  • Answer all incoming calls and respond to voicemails left on Ogilvy's main line
  • Handle all scheduling for events, trainings, etc. (i.e., lunch and learns, internship events, company-wide events) and assist with set-up
  • Prepare paperwork for onboarding and training
  • Provide support on ad hoc HR projects
  • Provide support with department filing (hard copy and electronic), copying, mailing, etc.
  • Assist with all department admin work and research
  • Assist with additional projects throughout the year

Qualifications

  • Bachelor's degree required
  • Competency in MS Office {MS Word, Excel, and PowerPoint)
  • Maintain confidentiality and interface with employees at all levels of the organization
  • Ability to anticipate team needs and respond accordingly
  • Must be an excellent multi-tasker
  • Friendly and open demeanor and a team player with a positive attitude
