Executive Assistant, Public Relations

Role Overview:

The Ogilvy PR team is seeking an Executive Assistant to support the Global Chief Communications Officer/Managing Director of our Media Influence team here in the New York office. Our EA will be responsible for performing general administrative duties. This position requires that the Executive Assistant be highly professional and detail-oriented. This person will also have superior verbal and written communication skills, interpersonal skills, and organizational skills.

Our ideal candidate will have a minimum of 6 years administrative experience or experience in a related capacity. Previous experience working in a support role at a PR/advertising agency or large corporation is a plus. The ability to multi-task between responsibilities, such as scheduling meetings, preparing travel arrangements and liaising with senior leadership, is essential.

Responsibilities:

  • Provide administrative support to Global Chief Communications Officer/Managing Director of the Media Influence team
  • Schedule meetings, booking conference rooms, ordering food for meetings
  • Make travel arrangements (e.g. booking airline reservations, hotels and car services)
  • Complete expense reports in a timely manner and in accordance with company policies
  • Serve as representative and an organized focal point for in dealing with other executives, departments, and Ogilvy disciplines
  • Take and transcribe meeting notes
  • Conduct library or internet research
 


Requirements:

  • Minimum 6 years of experience in supporting senior executives in an administrative capacity
Organizational and problem-solving skills
  • Ability to prioritize, multi-task, and meet deadlines
Pay attention to details and handle confidential material 
Ability to manage up and manage the executive's busy, changing schedule
  • Skilled communicator with strong writing skills
  • Strong knowledge of MS Word, Excel and PowerPoint, a knowledge of Keynote is a plus
  • Display initiative and flexibility, proactively prepare the executive for her day and week ahead
  • Strong trusted relationship builder with a proven ability to build and manage relationships at all levels of the business
  • Ability to work in a fast-paced environment with little supervision
  • Works with discretion, is trusted with confidential information
