The Program Mission Assurance organization is seeking an Administrative Assistant 4to support the Director of Program Mission Assurance and approximately 12 program quality leads.

In this role, the selected candidate will be expected to:

Conduct normal office functions such as setting up and maintaining files (e.g. department phone list, vacation calendar, tool lost reports, org chart updates, other data collection and metrics generation as needed).

Interview callers and make proper referrals, intensive meeting coordination, arrange conferences/events/team building activities (potlucks, birthdays, retirement parties, etc.).

Review drafts and finished documents for appropriate grammatical usage, answer questions relating to office operations and established policies and procedures, eRoom coordination, reports (training, certifications, weekly), travel arrangements (Concur), as well ordering office supplies/materials (iBuy).

Gather, compile, and report on information relevant to supervisor's assignment.

Control inspection stamps, certifications, technical training, coordinating moves (Archibus) and submit service requests.

Protocol and interface to other organizations. Maintain documentation for over 35 employees, scans and archives documents.

- Ability to schedule and manage multiple calendars on MS Outlook
- Ability to reschedule meetings on very short notice
- Able to perform work in an office or lab environment during specified work hours
- Ability to collaborate in a team environment.
- Ability to make decisions which have impact on the organization's credibility, operations and services.
- Ability to understand and execute on sequence of operations or action to be taken.
- Ability to perform work sitting for at least 2 hours at a time.
- High School graduate/GED and four years of administrative experience.
- Must be computer literate and proficient in the use of Microsoft Office Professional suite/software. (Excel, PowerPoint, Word, Outlook)
- Ability to frequently move and position objects weighing 20 lbs.
- Able to change physical locations based upon need (including physical ability to move building to building and pick up objects)
- Minimum1 year experience meeting/event planning, coordinating all logistics, and booking conference rooms.
- Willingness to travel to offsite location occasionally.
Basic Qualifications:

  • Current SSBI/SCI security clearance
  • High School graduate/GED andsix years of administrative experience.
  • Must be computer literate and proficient in the use of Microsoft Office Professional suite/software. (Excel, PowerPoint, Word, Outlook)
  • Ability to frequently move and position objects weighing 20 lbs.
  • Able to change physical locations based upon need (including physical ability to move building to building and pick up objects)
  • Minimum 1 year experience meeting/event planning, coordinating all logistics, and booking conference rooms.

Preferred Qualifications:
  • Experience with iBuy, Concur, SAP, CATS, Business Objects, PeopleSoft, Solumina, Metrics-generation, and database management.
  • Must possess exceptional inter-personal/written communication skills.
  • 70+ WPM typing
  • Experience with event planning and execution
