Government Affairs Executive Assistant

We are looking for an experienced executive assistant to join our team. The ideal candidate will be able to provide personalized secretarial and administrative support in a well-organized, accurate and timely manner. This includes managing phones and emails, scheduling appointments, preparing expense reports and planning meetings.


Executive Support —

  • Act as the point of contact between the Senior Vice President and internal/external contacts
  • Support Senior Vice President with daily clerical tasks, such as answering/directing phone calls, scheduling appointments, making travel arrangements and reservations, submitting expense reports, and maintaining contact lists
  • Plan meeting agendas and take detailed meeting notes
  • Prepare and respond to correspondence
  • Assist in administration of the Political Action Committee
  • Assist in the preparation of appropriate ethics and disclosure forms

General Office —

  • Ensure office is tidy and has all necessary supplies
  • Supervise and support staff assistant
  • Develop, implement and improve office policies and procedures
  • Ensure full coverage of front phones during daily office hours
  • Prepare and monitor office budget, keeping updated records of office expenses and costs
  • Submit and reconcile office expense reports
  • Produce reports, spreadsheets, presentations and briefs
  • Ensure company’s policies and security requirements are met by all staff
  • Develop and carry out an efficient documentation and filing system — both paper and electronic
  • Ensure proper mail distribution
  • Greet and provide general support to visitors
  • Act in place of staff assistant and provide support to senior managers whenever necessary


  • Proven work experience as a Senior or Executive administrative assistant (preferably in a Congressional office)
  • In-depth understanding of office management and daily operations
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office, including MS Word and MS Excel

This position is full time, with frequent after-hours/weekend help needed. This position is temporary with expected duration of one year.
