Executive Assistant

Assist team of four Digital Media Vice Presidents with all aspects of time management and administrative support. Additional requirement to support entire Digital Media team with office management tasks. The successful candidate works well under pressure, adapts easily to shifting priorities, maintains confidentiality, has excellent follow-through and is a proactive problem solver. Responsibilities include, but are not limited to, the following:

  • Manage the day-to-day calendar and schedule meetings including booking locations and coordinating A/V needs
  • Proactively manage scheduling conflicts; work with executives to identify highest priority items/meetings
  • Coordinate all travel arrangements including car transportation, hotel accommodations and airfare; coordinate out of town office/workspace for executives when traveling
  • Ensure executives have agendas, materials and documents in advance of meetings; assist with creating presentation materials as needed
  • Order supplies for department; manage procurement card invoices and reconciliation
  • Coordinate department events including set-up, clean up and procuring food and supplies
  • Collect, organize, create and submit all expense reports in a timely manner for executives
  • Answer and screen calls for executives
  • Greet scheduled visitors and direct them the appropriate individual/area
  • Place food orders for weekly team meetings, and all Game nights during the season
