Executive Assistant

The successful candidate will serve as the Executive Assistant to NFL Network’s Executive Producer as well as other assigned production executives. The Executive Assistant is responsible for coordination of time management, administrative support and production related transactions for NFL Media.

Executive Assistant Responsibilities:

  • Reads and routes incoming mail
  • Locates and attaches appropriate file to correspondence to be answered by employer
  • Composes and types routine correspondence
  • Organizes and maintains file system, and files correspondence and other records
  • Answers and screens manager’s telephone calls, and arranges conference calls
  • Manages the day to day calendar and schedule meetings as requested. This includes interacting with individuals at all levels inside and outside the company, booking location, ensuring all A/V needs are met and ordering meals if necessary
  • Greets scheduled visitors and escorts to appropriate area or person
  • Coordinate all travel arrangements for the executives including car transportation, hotel accommodations and airfare. Executives travel extremely frequently, especially during Thursday Night Football season where there are several back to back trips that need to be kept in order.
  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings
  • Serve as point person for NFL Media when holding a larger meeting at an offsite location. This includes seeking estimates from multiple locations, maintaining attendee list for hotel accommodations, reserving all meeting rooms, ordering catering and confirming all A/V requirements
  • Makes copies of correspondence or other printed materials
  • Prepares outgoing mail and correspondence, including e-mail and faxes
  • Edit and distribute memorandums to NFL employees as requested
  • Assist in any and all technical needs while acting as liaison with IT department
  • Collect, organize and submit all expense reports in a timely manner
  • Orders and maintains supplies, and arranges for equipment maintenance
  • Other duties may be assigned as needed

Special Skills/Abilities:

  • Must possess excellent Executive Assistant skills, including superior time management skills
  • Computer proficient in Microsoft Office XP (Word, Excel, PowerPoint, Outlook)
  • Ability to multi-task
  • Must have exceptional prioritizing, organizational and interpersonal skills
  • Superior communication, writing and grammatical skills
  • Creative thinker and problem-solver
  • Must be extremely detail-oriented
  • Must understand the business dynamics of the departments and maintain a budget
  • Must possess good communication skills.
  • Must be able to work overtime, nights and weekends when necessary
