Office Manager

Nexus Systems, located in Falls Church, Virginia, is the leading provider of electronic solutions that automate the traditionally cumbersome paper-intensive AP process. Nexus Systems, LLC is looking to fill an Office Manager position. This position’s primary responsibility is management of the office with executive support and basic accounting support. In addition, this individual will be responsible for fulfilling administrative and special assignments for multiple company departments, as they are assigned. This position requires proficiency in office applications, strong time management, organization, project prioritizing skills, and professional communication abilities.


  • Assist with organizing office operations and procedures
  • Partner with Operations to update and maintain office policies as necessary
  • Coordinate with IT department on all office equipment
  • Provide general support to visitors
  • Knowledge of answering or directing inquiries using a multi-lined phone
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products
  • Ensures operation of equipment by completing preventative maintenance requirements; following manufacturer’s instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
  • Managing contract and price negotiations with office vendors and service providers
  • Ensure that all items are invoiced and paid on time
  • Manage the conference room bookings and equipment
  • Liaise with facility management vendors, including cleaning, catering and security services
  • Plan in-house or off-site activities, like parties, celebrations and conferences
  • Assist with mailing needs
  • Maintains various office management documents
  • Support Accounting Department with A/R and A/P data entry as needed
  • Uses spreadsheet software to assist with departmental needs
  • Assist in handling travel arrangements and expense reports
  • Other tasks assigned


  • Bachelor’s Degree
  • Ability to organize multiple deadlines while demonstrating flexibility and the ability to organize and perform multiple tasks concurrently and efficiently
