Salesforce Administrator

General Purpose:

It is the goal of the IT Department to provide the most effective technological solutions offered to meet the needs of the National Aquarium. We strive to educate, empower and advise our users, as well as ourselves, on technology and the finest business practices available. Customer service and continuous improvement are paramount to everything that we do. The Salesforce Administrator will manage the ongoing development of our Salesforce deployment. The administrator’s chief responsibility is to maintain existing functionality by responding to issues, managing all changes/enhancements, documenting systems processes, and supporting & training users. Also key is staying abreast of all Salesforce releases and new features, and leveraging them appropriately to ensure efficient processing and an excellent user experience. The administrator will also work closely with functional leaders, organizational units, and subject matter experts to identify develop and deploy new business processes to support Fundraising, Marketing, Education Programs, Security, and our core business operations. This role encompasses Technical Project Management, System Administration and Business Analysis.

Essential Functions:

  • Serve as primary system administrator for the environment with 500+ users
  • Handle all administrative functions including user account maintenance, reports and dashboards design and maintenance, workflows, and security model.
  • Proactively seek out and identify needed system changes
  • Proactively gather feedback from users
  • Manage system changes without interruption to the user
  • Communicate system changes to the users in advance so they understand the change and how to use it prior to implementation
  • Gather requirements from end users
  • Modify the system to increase benefits and usability.
  • Complete regular internal system audits and prepare for upgrades
  • Manage Salesforce data feeds and critical business process integrations
  • Champion and drive the evaluation, scope, and completion of new development requests
  • Establish suitable processes to support administrative, development, and change management activities
  • Train new users, and grow the Salesforce skill set across the organization
  • Monitor use of system for optimal user experience and leverage platform features to make improvements
  • Effectively act as the liaison between users, partners, vendors, and the application development team
  • Work independently with members of the user community to define and document development requirements
  • Design and maintain documentation processes for training and technical reference purposes
  • Ensure data integrity by merging duplicate records, performing mass uploads and updates of data as required; Removing unnecessary fields and data; ensuring screens, fields, and workflow have accurate names and reflect current processes.
  • Stay abreast of new Salesforce features and options that could benefit organization and strategically implement them
  • Expand use of – attend planning meetings, assist with determining if /how can be used in new ways as opposed to purchasing a new internal system
  • Monitor usage and mentor users/groups needing assistance
  • Continually seek ways to further enhance the end-user experience

Qualifications/Position Requirements:
  • Salesforce Administrator, Advanced Administrator, & Platform App Builder certifications
  • Bachelor’s Degree in Computer Science or other related field.
  • Experience with Nonprofit Success Pack, Salesforce Communities, and Marketing Cloud
  • Three to five years of Salesforce administration experience
  • In-depth knowledge of the standard capabilities of SFDC and have successfully expanded on those capabilities through the use of custom code (Apex, s-controls) and/or integration with external systems
  • Strong reporting background using standard reporting tools including standard reporting functionality
  • Proven ability to design and implement new processes and facilitate user adoption
  • Strong understanding of the platform, with the ability to build custom apps and objects, formula fields, workflows, custom views, and other content of intermediate complexity
  • Strong understanding of Salesforce best practices and functionality
  • Strong data management abilities
  • A documented history of successfully driving projects to completion
  • A demonstrated ability to understand and articulate complex requirements
  • Experience with nonprofit processes preferred
  • Previous experience working in a SCRUM or agile environment preferred
  • Strong reporting background using standard reporting tools including standard reporting functionality
  • Previous re-engineering experience updating an existing configuration to provide solutions for reporting, workflows and enhanced functions
  • Proven ability to utilize as a sales analysis tool
