CI Payment Processing Manager
Reporting to Consumer Loan Servicing Director, the Payment Processing Manager is responsible for defining and directing the activities for cash and payoff processing activities. The Payment Processing Manager is also responsible for the development and implementation of projects targeted to improve the Servicing Department's performance and productivity. This includes determining the feasibility of continuously improving and automating the Bank's processes for efficiency. The Payment Processing Manager is responsible for preparing staff appraisals, conducts evaluation and counseling sessions, recommends merit increases and promotions, conducts interviews with potential candidates and performance manages staff members. Direct Reports: approximately 10 to 20
50% - Oversee Daily Activities in the Payment Processing Unit: Oversee the payment processing function including all types of payment mediums (e.g., check, ACH, Wire, Western Union, etc…) and channels (e.g., Lockbox, Branch, Pay-by-phone, etc…) and returned items. Perform communication in regards to disruptions in cash processing or payoff processing to other departments dependent on the Payment Processing work. Monitor daily advances and bill record maintenance. Payment and Stop Files: Oversee the transmission of the payment and stop files to ensure that files are current and have been generated/received by the appropriate parties. Payment Processing: Oversee the Payment processing functions to ensure processing is performed in accordance with the terms of the note, is accurate, timely, and adheres to regulatory/agency guidelines. Manage the processing of items in the suspense queues as well as implementing processes to reduce suspense. Monitor and Control: Understanding of industry standard payment monitoring and control structures (e.g., segregation of duties, establish control points). Servicing Released and Loan Sales Transfer Processes: Oversee service released loans and the loan sales transfer processes to ensure that the payments and or payoffs are directed to the appropriate owner at the appropriate time.
30% - Manage and Support Special Projects
Projects and Acquisitions: Manages multiple integration efforts. Responsible for ensuring the development, training and implementation of existing and new delivery systems is performed within established requirements, time and budget constraints. Process Improvement: Identify and implement opportunities (process and system) to gain efficiencies within the payment processes. Must have ability to quickly design new processes to meet changing regulatory needs.
20% - Performance Management and Administration Performance Measurements and Leadership: Establishes criteria to measure performance. Provides leadership and direction to users and staff in presenting ideas, obtaining concurrence and commitment, and resolving conflicts associated with projects and daily tasks. Staff Development - Evaluates staff's performance and helps them improve their project management skills. Prepares staff appraisals, conducts evaluation and counseling sessions, recommends merit increases and promotions, conducts interviews with potential candidates and terminates staff members, as needed. Administration: Determines the most effective organization structure and specific responsibilities within that structure for the department. Publishes status reports for management of major activities. Prepares audit responses, special project reports and project implementation reports. Financial Planning - Assists in formulating the long range financial plan proposal (Budget) based on current and anticipated growth rate, staff development, changes affecting the department. Internal and External Contacts - Internal contact occurs on a weekly to daily basis contact with direct manager, division managers, department managers and staff. External contact occurs on a weekly basis with Top Management and peers of other companies, and vendors. Audits: Interface with auditors and ensure that the controls and processes in the operations will meet audit requirements.
B.A. or B.S. degree required, preferably with a concentration in Accounting/Finance. This position typically requires 5 to 7 years of non-supervisory payment process experience and at least 4 years of supervisory experience as a manager. Strongly prefer MSP servicing software experience.
Communications and Supervisory: This position requires excellent organization, planning and interpersonal skills, along with experience with acquisition integration, service released activities, cash flow and process transformation. The ability to effectively delegate tasks and responsibilities to the appropriate individuals and instill a sense of confidence both within and outside of the department by effective leadership is required.
Bank Policies: A thorough knowledge of the Bank's policies and procedures and a thorough knowledge of performance appraisals, counseling procedures, merit and promotion guidelines, and hire and termination procedures are required.
Desktop Software: Excellent MS office suite skills, including Word, Excel, Project, PowerPoint, and Visio. Must have ability to write complex Excel formulas and create pivot tables. Also must have the ability to create executive level PowerPoint presentations.
