Job Title

Senior Business Assistant

Job Overview:
Provide excellent administrative support to senior executive leaders. Role reports to the senior vice president, and will provide dedicated support to the President, Global Risk and Security during maternity cover; will revert to SVP support over time.

Day to day duties include:
•Scheduling of internal and external meetings
•Calendar management
•Organizing travel
•Expense reporting
•Organizing visas as and when required for travel
•Raising purchase orders as and when needed using Oracle
•Coordinating all corporate hospitality using Spotlight and submitting requests on VIVO (Mastercard's compliance system), including several large meetings with global teams
•Taking and distributing meeting minutes (if required)
•Organize catering and accommodations for meetings as and when needed
•Photocopying/printing of PPT presentations ready for meetings/calls
•Screening mail & emails
•Ordering office & IT supplies for the team as and when needed
•Additional administrative and project tasks as required

Knowledge / Experience:
•Demonstrated success and experience of working at a high level providing administrative support to Executive Level Management is necessary
•Experience in a corporate environment interfacing with Board & Executive level management and senior customers

Skills/ Abilities:
•Strong working knowledge of desk top computer software such as Outlook, Word, Excel & PowerPoint
•Be flexible and demonstrate discretion
•Work as part of a team
•Capability to self start and seek solutions for every day challenges, and to anticipate the team's needs
•Excellent writing and proofreading skills are necessary, with strong attention to detail
•Ability to cleverly think beyond the "assignment" for what makes sense in executing with excellence.
