The challenge

We are seeking an experienced Administrative Assistant to provide support to our EMEA Senior Director, Digital Media Marketing.

What you'll do

  • Arrange corporate travel and meetings by developing itineraries and agendas, booking transportation and arranging hotels and meeting rooms.

  • Submit expenses and ensure these are taken care of systematically, each month.

  • Complete projects and special assignments by establishing objectives, determining priorities, managing time, gaining agreement of others, monitoring progress, problem-solving and make adjustments to plans.

  • Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.

  • Conserve executive's time through understanding and routing correspondence, drafting emails & documents, collecting and analyzing information, initiating telecommunications.

  • Maintain executive's calendar by planning and scheduling meetings, teleconferences, and travel.

  • Frequent collaboration with other EAs and teams across EMEA and US.

  • Welcome guests and customers by greeting them, in person or on the telephone, answering or directing inquiries.

  • Maintain customer confidence and protects operations by keeping information confidential.

  • Place orders for supplies including IT equipment, verifying receipt of supplies.

  • Maintain professional and technical knowledge and establishes personal networks.

  • Contribute to team effort by accomplishing related results as needed.

What you need to succeed

  • Extensive experience is a similar role supporting a pan EMEA leader within an international, dynamic environment.

  • Evidence of cross regional collaboration and stakeholder relationships.

  • Excellent communication skills, both written and verbal.

  • Exceptional scheduling abilities and advanced use of Microsoft Office tools.

  • Excellent planning and organisational capabilities with a keen eye for the details.

  • Time Management planning and organization.

  • A naturally collaborative team player that is proactive and solution minded.

  • Occasional travel will be required
