Scheduling Coordinator

The Scheduling Coordinator completes a pre closing quality assurance review, validates data accuracy, obtains prior to close conditions such as VVOE, HOI, Taxes, Etc., and coordinates the scheduling of the loan closing between the customer and the closing agent.

Essential Functions

Complete a QA review of loan quality for completeness prior to scheduling for closing

Obtain any updated VVOE’s as necessary

Coordinate receipt of valid and complete HOI, Taxes, Etc.,

Schedule the date/time for loan closing between closing department, closing agent/attorney, and the customer

Set clear expectations on any required document the customer needs to bring to closing

Deliver superior customer service approach while speaking to customer

Understand the documentation the customer must have available to complete the closing

Ability to answer and resolve any questions the borrower may have regarding the loan closing

Coordinate the closing capacity calendar on a daily basis

Assist clients with loan level questions and concerns

Develop a sound understanding of processes, controls and systems that support consumer compliance

Ensure protocol, checklist/documentation and critical data is correct

Make decisions regarding the acceptability, adequacy and accuracy of documentation received for closing

Work with management groups across business lines to track and report deficiencies

Update and maintain accurate records of all communications in the company’s origination system

Maintain accurate records of all actions regarding clearing conditions in the company’s origination system

Notify management of trends and/or training opportunities

Review documents to ensure all correct documents have been received

Qualifications

Education

High School Diploma or equivalent

BA/BS degree preferred

Mortgage Academy graduate

Experience:

2+ years of mortgage processing or closing experience with heavy customer interaction

Knowledge/Skills/Abilities:

Clear understanding of the outsourcer’s role in the transaction as well as specific identified customer needs – wealth management, second mortgages, secondary and retained servicing

Knowledge of mortgage operations – proficient

Knowledge of overall mortgage closing and post-closing process

Prioritize workload in a time-sensitive environment, ability to problem-solve across

Provide feedback for quality of work in a professional manner

Stay abreast of state and federal laws, compliance and investor guidelines
