ROLE:

The professional Office Manager at JUUL Labs’ East Coast headquarters in Washington D.C. supports the day to day operations of all functions located in the office.  Responsibilities include maintaining office systems, managing site vendor relationships, troubleshooting daily issues, keeping both office and catering supplies in stock, and coordinating with the Workplace department for all general administration requirements. The Office Manager is the internal support to the organization, keeping everything working with ease. In conjunction with the growth of JUUL's business and presence in Washington DC, this role is expected to maintain the highest of site standards.

RESPONSIBILITIES:

  • Overall responsibility for ensuring a high touch level of professionalism for both employees and office visitors
  • Ensure that reception desk operates effectively and efficiently; maintain a neat and orderly guest reception area
  • Maintain visitor door access, offer refreshments upon visitor arrivals, and promptly inform the appropriate party that guests have arrived
  • Ensure kitchen, common areas, and supply rooms are neatly kept and stocked
  • Reviews and approves supply requisitions for office supplies, catering needs, inventory, organizing, bathroom supplies, budgeting, etc
  • Responding to needs and identifying opportunities for proactive engagement to perpetuate and help others perpetuate mission function and goals
  • Using a well-versed understanding of organizational policy and processes to carry out effective and efficient day-to-day facility operations and special projects
  • Organizes across all functions, ensuring ease of operations on all floors and in all areas
  • Company activity planning
  • Manages vendor contracts, coordination, and relationship for catering, janitorial, and other facility service providers
  • Corporate account maintenance for shipping and office supplies, including shipping and receiving support for the office
  • Support and coordinate with both HR and IT when onboarding new office employees
  • Providing sound data to leaders to make informed, timely, evidenced-based decisions with cognizance of implications and impact
  • Manage building evacuations, emergency response team, and first aid supplies 

PERSONAL AND PROFESSIONAL QUALIFICATIONS:

  • Minimum of 3 years experience within an office administration role; experience in highly regulated industries a plus
  • Experience working with C-Suite level required
  • Strong written and verbal communication skills
  • Highly professional and patient; remains composed and confident under high-pressure or stress
  • Trustworthy; demonstrated ability to act with discretion and handle confidential requests and high profile visitors
  • Reliable; shows up on time and acts with decisiveness
  • A passion for providing excellent customer service; a warm and inviting balanced personality without being disingenuous or overwhelming
  • A+ organizer who follows through on commitments
  • A true team player; willing to pitch in and assist fellow teams and colleagues with a "can do" attitude
  • Takes initiative; anticipates the needs of the organization, solves problems, and willing to roll up your sleeves to get the job done
  • Ability to work independently and amongst a team with minimal supervision
  • Excellent problem-solving skills; agile multi-tasker with an ability to find clever solutions to facilities challenges
  • Exercise impeccable and professional judgment when solving problems, strong attention to detail
  • Experience managing vendors and negotiating contracts
