What's the opportunity? 🤔

As our People Operations Associate, you’ll be a vital member of the People Operations team and you’ll be key in helping support a great employee experience here at Intercom. Reporting to our Manager of People Operations in Dublin, Lauren Cullen, you’ll play an important role in developing our range of HR processes for Intercom’s rapidly growing team in Dublin, which now stands at almost 200 people.

Being on our People Operations Team (Or People Ops, for short), your job as an Associate is to be a key partner to the business and an ally to our employees, supporting all of our programs and operations in Dublin to help ensure our employee experience at Intercom is the best the tech world has to offer. For us, an ideal candidate will be extremely customer focussed to support our employees as his/her customers and make sure they have all they need to find success in their roles at Intercom.   

What will I be doing? 🚀

  • You’ll get to manage our new hire onboarding process, including engaging with the candidate once they have signed their contract, owning the internal set-up and associated paperwork, and providing help with any questions along the way
  • You’ll administer and support any relocation projects of employees moving to our Dublin Office including visa support, booking travel and helping new starters get set up in Dublin
  • You’ll organise and conduct new hire orientation and continue to evaluate and improve processes and employee experience
  • You’ll maintain and update materials including benefit forms and employee handbook
  • You’ll set up and maintain all employee personnel records and e-filing
  • You’ll provide administrative support for monthly payroll process ensuring that all new hires, payroll changes and personnel information are all updated and accurate
  • You’ll ensure employee data compliance, maintain onsite employee files, ensuring accurate documentation, pay and benefits, personal and job-related data is kept up-to-date and compliant
  • You’ll adhere to documentation and retention measures; always seeking to improve processes that ensure legal compliance
  • You’ll assist with the administration of company benefits programs: healthcare, dental, vision, commuter allowance and perks
  • You’ll assist with learning and development programs
  • You’ll be the first point of contact for employees day-to-day questions
  • You’ll create employee letters as requested and provide help in filling out any benefit or application forms (maternity/paternity forms, mortgage applications etc)
  • You’ll send company questionnaires to new hires after 30 days and exit interviews to all leavers.
  • You’ll manage the off-boarding process for employees leaving Intercom, including conducting face-to face interviews with these employees, closing off all internal files and associated admin, and collecting company property if needed
  • You’ll get to provide support to the HR manager and Business partners as needed
  • And you’ll help out on other projects, as needed

What skills do I need? 📖

  • You have 3+ years experience in a Human Resources/People Operations function
  • You have excellent communication skills (written, verbal, presentation, and interpersonal), exemplary client service skills, the ability to handle multiple projects and competing priorities and adapt to a fluid, high-growth environment
  • You have an extremely high level attention to detail and organizational skills; with the ability to own a task right through to completion
  • You have a successful track record of supporting HR processes, employee resourcing; performance management and change management
  • You’re a team player with a sense of ownership and “get things done” attitude. You’re self-motivated and able to thrive in a fast-paced and self-directed environment
  • You’re very comfortable with technical systems and softwares
  • You’re able to combine great people intuition, business judgement and discretion in your decision-making
  • You have a great knowledge of HR compliance regulations, employment laws, and industry best practices
  • You value and respect the confidentiality of your work and our employees

Bonus skills & attributes 🙌

  • You’ve had experience working in a tech start-up environment
  • You’ve had experience working with Namely, our HRIS
  • You have a working knowledge of visa and critical skill permit applications
  • You have a four-year degree or equivalent from an accredited university
