Senior Payroll Manager

The Senior Payroll Manager at HotelTonight is responsible for owning global payroll. You will be the sole Payroll Manager for our SF headquarters, remote Customer Experience team and our international offices.  You'll provide guidance, leadership, and structure to the Accounting team, and lead all of our core payroll processes. You love stepping back to craft the strategy and then diving into the details to put your ideas into action.

WITHIN 1 MONTH, YOU WILL:

  • Own and manage all domestic and international payroll operations related to employee compensation and benefits. This includes processing of US bi-weekly payroll for exempt and non-exempt workers, coordinating monthly payroll for international employees, researching discrepancies and identifying and resolving payroll-related issues
  • Coordinate and partner with HR to keep all payroll records accurate and up to date
  • Track employee PTO usage and include such data in each payroll cycle
  • Respond to employee inquiries and requests regarding payroll matters
  • Oversee non-exempt time reporting in Ultimate Software (Ultipro)

WITHIN 3 MONTHS, YOU WILL:

  • Perform monthly payroll close duties, including the preparation of period-end accruals and monthly journal entries for all payroll and benefits
  • Provide formal and ad-hoc analysis of payroll, benefits, and headcount
  • Continuously identify and develop solutions for process efficiency to improve productivity
  • Maintain compliance with all Federal, State and local payroll tax laws

WITHIN 12 MONTHS, YOU WILL:

  • Support external audits and payroll related audit
  • Responsible for accurate monthly/quarterly/annual filing requirements (including year-end W-2 and 1095-C reporting)
  • Assist in the development of company payroll policies and procedures that will ensure compliance with GAAP, all necessary government regulations, and SOX requirements
  • Serve as a subject matter expert in the operation of the payroll system, expatriates, regulations and related tools that support HotelTonight’s tax and reporting compliance requirements
  • Understand and work closely with HR to ensure compliance with worker status issues, including: Fair Labor Standards Act, employment taxes (FUTA wage base, tax rate, credit), employee benefits, employee and employer forms

WHAT WE'RE LOOKING FOR IN YOU:

  • 10+ years payroll administration experience
  • Working knowledge of payroll software platforms and HRMS systems, (experience with Ultipro is a plus!)
  • Experience working with an hourly workforce is required
  • Bachelor’s Degree in Accounting, Finance or related field preferred; CPP designation a plus
  • Deep understanding of applicable Federal, State, and local payroll and related tax laws, regulations and statutes
  • Strong attention to detail, organizational and time management skills; ability to handle multiple priorities within deadlines is required
  • Ability to work independently in a fast-paced, ambiguous environment with minimal supervision
  • Excellent verbal, written communication, and listening skills
  • Desire to make payroll a seamless process for the company
