RESPONSIBILITIES

The Workplace Experience Manager is responsible for the leadership and supervision of the CBRE Mail and Logistics Teams at our client's campus facilities. You will be plan, organize, direct and oversee all operations within these teams, including warehouse management, inventory control, equipment staging and deployment, campus shipping and receiving locations, intercampus logistics, hardware destruction and recycle and a team of direct reports. A Manager in this setting must be able to work well with people while ensuring that activities and policies are carried out according to corporate guidelines. Excellent leadership and communication skills are vital.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Supervising People

To include time and payroll authorization, training approval and vacation approval. Duties also include hiring and termination authorization, annual reviews, merit increase actions and corrective action plan administration, with approval one-up manager or HR, as needed

Provides formal supervision to individual employees within single functional or operational area.

Ensure that all direct reports understand how their work relates to the customers' business objectives

Interview and hire all associates and drivers: Make fair and equitable hiring decisions that promote workforce diversity while adhering to all applicable regulations

Build engagement by expressing pride in the group when goals are met, recognize and reward associates for their achievements

Inspire, develop, lead and retain a diverse, high energy, genuinely friendly, customer-obsessed team to meet or exceed customer and CBRE expectations

Build and establish amazing partnerships with employees, customers, vendors/suppliers, and corporate partners

Provide coaching & counseling - create a positive atmosphere of professionalism and support. Provide honest and timely verbal and written feedback to employees; address performance issues with directness and sensitivity with guidance from one-up manager and human resources

Identify and groom future CBRE leaders through succession planning

Demonstrate exemplary ethical conduct that establishes an atmosphere of trust and support

Managing operations

Interact daily with our customers to ensure we understand existing and emerging customer needs and SLA compliance. Plan for, forecast and adjust according to those needs in a proactive manner.

Ensure consistency in support provided by the team through continuous review and improvement of existing processes. Works with managers to resolve conflicting priorities. Interprets and communicates goals and direction with management, sets achievable goals that are linked to the objectives of the organization.

Utilize team to identify operational improvements in areas such as route optimization, load leveling, vehicle maintenance, package accountability, and warehouse operations

Collaborate with other CBRE leaders both on and offsite to share best practices, leverage resources/assets, etc.

Warehouse: Involves oversight of both materials and labor in a product storage location. The pace of a warehouse can be very active due to incoming and outgoing materials, making it important for a supervisor to be able to focus on multiple tasks at the same time

Maintains physical condition of warehouse by planning and implementing new design layouts, inspecting equipment and ensuring spaces are kept clean and tidy

Safeguards warehouse operations and contents by establishing and monitoring security procedures and protocols

Shipping & Receiving: This position is responsible for timely and accurate distribution of inbound and outbound freight, parcels and USPS mail, special projects and communications with other departments and locations

Responsible for all aspects of operating day-to-day services of direct reports (including monitoring staffing levels, scheduling, coordinating workflow, prioritizing jobs, and delegating duties

Manage Quality & Workflow compliance: Demonstrate commitment, enthusiasm and utilization of quality tools to drive SLA attainment and exceed client expectations. Manage accuracy, production, quality and retention of program materials; which may include administration of SharePoint sites or similar. Ensures client and company materials comply with client and company brand guidelines. Ensure service levels are clearly communicated, understood, and performed by the distribution team

Finance: Manages an operating budget and makes recommendations on annual budgets; Ensure all billings for business services are invoiced and billed as required. Ensures that savings goals are met and adhere to approved budgets. Develop and execute annual financial and operating plan, manage the operation with integrity to meet or exceed budgeted targets. Identifies issues with the operating metrics and P&L and responds accordingly

Fleet: Monitor and improve fleet and equipment utilization. Keep vehicles well maintained and clean. Bring forward innovative ideas, contribute to equipment specification as needed. Build a strong working relationship with local service vendors. Effectively balance resources to maximize productivity and efficiency.

Perform administrative tasks, provide volumes/billing inputs to one-up manager, and other assigned duties in a timely manner.

Growth: Execute a process to track and record value delivered to the customer, Identify and seize profitable business opportunities, Utilize available metrics to monitor and maximize customer efficiencies and achieve cost savings.

Assists in the completion of the office Business Continuity plan.

EDUCATION and EXPERIENCE

HS Diploma or GED required. Bachelor's degree (BA/BS) or other relevant vocational training preferred. Minimum of 6 years related (e.g. Front Desk, Concierge, Hospitality, Room Management, or Customer Service) roles preferred. Previous supervisory & customer service experience preferred.

OTHER SKILLS and ABILITIES

Intermediate skills with Microsoft Office Suite products such as Word, Excel, PowerPoint, Visio, SharePoint, OneNote, Outlook, etc. Comfortable with and embracing of new technologies and digital tools; such as Apps, databases, financial management, work order management, social networking, cloud technologies, handheld mobile technologies and applications, and communications.

Best candidates will have a genuine interest in in anticipating and serving the needs of others. A warm demeanor and desire to collaborate with others is key.

Physical ability to assist with warehouse operations. Able to lift 50 lbs.

SAFETY

As a Supervisor:
1. While adhering to all HSE requirements established for CBRE employees, supervisors and managers are required to:
a. Provide sufficient distraction free time for employees to complete all required HSE training & support the HSE training program implicitly
b. Investigate and resolve (if possible) all reported unsafe conditions / acts and communicate results back to the affected stakeholders
c. Support stop work authority when it is exercised in good faith
d. Communicate any / all potential workplace hazards and workplace procedures
