Summary: The Manager of Community Health Centers manages the day to day operational activities of assigned Health Centers. Individual accountabilities and work volume will be established through the development of annual Success Objectives, within the framework outlined below.

Essential Duties and Responsibilities:

  • Hires, trains, supervises and evaluates Patient Support Specialists and Medical Assistants at assigned Health Centers.
  • Directly supervises six or more employees – assigns and directs work, conducts performance appraisals, addresses complaints, takes appropriate disciplinary action with prior approval in accordance with limitations set forth in the collective bargaining agreement and employee handbook.
  • Ensures Patient Support Team is following established Customer Service goals and AIDET.
  • Develops and reviews policies related to business operational support functions including scheduling, registration, and eligibility screening.
  • Monitors flow of data collection, through patient access and registration, to support program and agency objectives.
  • With input from the Director of Health Center Operations, manages all health center staff and provider scheduling and ensures appropriate coverage. Plans staffing patterns to optimize productivity.
  • Solves problems and handles daily provider/patient issues of concern to ensure optimal patient satisfaction including patient flow. Reports major issues to Director of Health Center Operations.
  • Has a working knowledge of the Electronic Health Record System (EHRS). Works with colleagues to resolve issues with EHRS. Reports major EHRS issues to the Director of Health Center Operations.
  • Maintains an appropriate office environment.
  • Ensures office equipment (including, but not limited to telephones, computers, fax machines, printers, copiers) are in working order. Arranges for immediate repair when necessary. Trains appropriate staff to use office equipment.
  • Addresses patient issues that may arise. Follows grievance policies. Apprises Director of Health Center Operations of all grievances and results.
  • Communicates to the Director of Health Center Operations on a daily basis, operational issues, including, but not limited to, productivity, safety, patient satisfaction, and quality.
  • Evaluates Health Center facilities on a regular basis to ensure cleaning and maintenance of the facilities is accurate and all equipment is in working order. Arranges for immediate repair when necessary. Apprises Director of Health Center Operations of any major issues.
  • Consults with Director of Health Center Operations to ensure OSHA and other regulatory compliance.
  • Participates in budget discussions and provides data to support budgetary decisions regarding assigned Health Centers.
  • Assumes responsibility for the accuracy, substance and timeliness of reports, projects, schedules and other relevant work products, as assigned.
  • Stays apprised of health care trends and policy initiatives impacting delivery of health care services at local, state, and national levels and educates staff regarding policy and process changes impacting health care services
  • Develops and maintains professional relationships with appropriate professional groups and organizations.
  • Attends and participates in management team meetings and works cooperatively with all Organization staff to maximize service and reporting outcomes. Works with management team in the development of long range plans, service delivery model and other significant strategies and/or systems.
  • Manages facility logs and equipment list.
  • Works with CHN to ensure Joint Commission Success.
  • Other duties may be assigned.

  • Education and/or Experience: Associates Degree and six years experience working in a community health center or medical practice or equivalent and at least two years of supervisory experience. Certificate in Medical Practice Management, Associates Degree in Medical Practice Management, or Bachelor Degree in Business or Health Administration preferred.
  • Language Skills: Fluency in another language may be required.
