Administrative Coordinator, Hearst Integrated Media

Primary Responsibilities:

  • Administrative duties including expenses, managing and creating and maintaining up to date client contact lists for mailings, travel planning, scheduling meetings internal and external, and ongoing communication, filing and organization, ordering office supplies and overseeing and supporting other administrative assistants - Assist with marketing communications including status reports, meetings, marketing database, media kit development- Assistance with integrated program execution including contest and sweepstakes administration- Assistance with department events including planning, vendor outreach, invitation fulfillment, managing guest lists- Management of client media days including client and magazine communication, internal logistics, catering, conference rooms, AV- Transform successful campaigns into case studies and upload each onto the HIM Case Study website- Interact with customers and arrange meetings as well as the ability to do background research for meeting preparation- Assemble/coordinate presentation materials

Key Requirements:

  • Proficiency in Word, Excel, Power Point, Keynote and understanding of media math - Enthusiastic, proactive, detail-oriented, organized and self-motivated; most importantly, candidate will be able to multi-task and prioritize complicated projects- Very strong organizational skills; ability to prioritize multiple matters- Excellent communication (oral and written) skills and the ability to communicate effectively with internal and external stakeholders at all levels- Minimum three years administrative office experience- Bachelor's degree - Ability to Handle sensitive and confidential material discreetly
