Healthfirst Foundation (HFF) Director

The Healthfirst Foundation (HFF) Director is responsible for helping the organization achieve its mission. The Director oversees day-to-day operations of the Foundation including grantmaking, administration, and financial, functions in accordance with the direction and policies established by the Board. The Director is also responsible for evaluating programs that receive grants and overseeing participation in programs that the Foundation participates with directly or operates. The Director provides guidance to the Board in carrying out its governance and grantmaking functions, specifically in leveraging resources and establishing strategies to meet the foundation's shared and measurable goals toward impact. The Director also serves as a steward of HFF's mission and understands his/her role in advancing and protecting the reputation and work of the foundation.

Duties and Responsibilities:

OPERATIONS AND ADMINISTRATIVE MANAGEMENT: Supervises day-to-day operations of the foundation in accordance with current laws and regulations.

  • Manages and enhances processes that allow for efficiency and smooth functioning of the foundation operations, ensuring compliance with established policies and procedures.
  • Works with the Board of Directors to develop the foundation's annual and future philanthropic priorities.
  • Drafts the operationalization/implementation plans to deliver on those priorities, including operations, administration, governance, financial management, and grantmaking.
  • Tracks and reports on the success of achieving the established goals to the Board and key stakeholders.
  • Participates in programs directly or jointly operated by the Foundation.
  • Stays current on issues, and regulations of the sector to ensure the foundation is responsive and proactive, as well as in compliance and providing services in alignment with the organization's mission.
  • Grows knowledge and expertise related to the Director role and Foundation grantmaking priorities through participation in professional development opportunities, including webinars, conferences, site and field visits.

FUNDRAISING/FINANCIAL MANAGEMENT: In consultation with the finance team and general counsel, as well as Foundation Source, the foundation's back office grants management function, responsible for the development, monitoring and reporting on of the annual budget, cash flow, and expenses and ensures compliance with general accounting and legal policies and procedures.

  • Prepares and reports on the foundation's annual budget and ensures that it is adequate and cost effective.
  • With Foundation Source and the finance team processes and tracks grant payments accurately in a timely manner.
  • Manages appropriate cash flows and reconciliations, financial management and reporting for the organization, in partnership with appropriate finance partners.
  • Coordinates with accountants to compile documentation and materials to prepare annual tax returns, financial audits, and filings.
  • Expands and nurtures a strong network of partners, funders, and collaborators, including identifying any appropriate grants for which the Foundation may be eligible. Develop efforts with other Healthfirst leaders to diversify funding and other resource streams.
  • Tracks compliance with any grants received.

GOVERNANCE, BOARD ADMINISTRATION & SUPPORT: Helps the foundation to fulfill its governance function, assists the Board to lead in its role and accountabilities and that of its committees and individual members, supports regular performance evaluation.

  • Supports the operation and administration of the Board by advising and informing Board members through periodic oral and written updates (including a Foundation Director's report at Board meetings), interfacing between Board members and staff, and participating in the Board's evaluation of the Foundation Director.
  • Interacts with legal counsel to ensure compliance with applicable laws and regulations.
  • Designs, reviews, and maintains operational policies, practices, and guidelines of the foundation, presenting to the Board for input and approval.
  • Arranges and attends Board and committee meetings (i.e., Grants Committee) activities including preparing facilities and agendas; oversees materials development including preparation of the board book; implements Board directives; communicates with Board between meetings; reviews drafts of minutes of board meetings; and ensures follow-through on action items.
  • Leads the Board in its strategic planning and establishes objectives based on goals and budget considerations agreed upon by the Board. Provides guidance to Board in selection of new areas of interest.

GRANTMAKING & PROGRAM DEVELOPMENT: Responsible for implementing the foundation's mission and its annual grantmaking goals within Board-approved guidelines.

  • In conjunction with the foundation Board, provides overall leadership to grantmaking initiatives and strategy.
  • Works closely with the Grants Committee of the Board to craft and implement grantmaking policies and procedures, conduct research, and recommend organizations for funding, including potential new areas and trends for funding.
  • Administers the foundation's grantmaking program, including preparation of written requests for proposals, grant proposal reviews, attending site visits with grantees in assigned portfolio to gain further knowledge about projects and work, and preparing summaries of pending grants for Board approval.
  • Oversees management of the foundation's online grants database, grant applications and reports via Foundation Source, as well as communications with prospects and grantees in assigned portfolio.
  • Develops and oversees evaluation of funded programs, monitors progress of approved grants and makes periodic reports to the foundation and committees on funding effectiveness.
  • Ensures timely payout of approved grants (including ensuring approved grants are entered and coded appropriately.
  • Recommends for Board consideration and approval new programming ideas and initiatives which assist the foundation in fulfilling its mission.
  • Assists Board members in the identification and vetting of charitable causes of interest.

EXTERNAL RELATIONS: Assures the foundation and its mission is consistently presented in strong, positive images to relevant stakeholders and that the foundation is responsive in the issue areas it prioritizes.

  • Serves as the foundation's main point of contact for general inquiries to the foundation and works with marketing/communications team to identify the appropriate spokesperson(s) for foundation activities.
  • Maintains a professional profile in the field of philanthropy by participating in briefings, seminars and conferences in the nonprofit/philanthropic sector that are designed to strengthen and promote the field and the foundation, as well as to keep the Foundation aware of community/grantee needs.
  • Participates in partnerships/collaborative opportunities with other grant makers and nonprofit organizations, as appropriate.
  • Identifies and accesses philanthropic support resources; promotes awareness of and participation in such opportunities by foundation Board/staff members (such as Grantmakers in Health, Exponent Philanthropy, Council on Foundations, Grantmakers for Effective Organizations, Philanthropy New York).

Minimum Requirements:

  • Bachelor's degree from an accredited university
  • A minimum of 5 years city, state, and/or federal grants experience or equivalent nonprofit sector business development, or corporate outreach experience.
  • A minimum of 3 years' experience working for a foundation.
  • Excellent analytical and organizational skills along with financial and data management skills including accuracy and attention to detail.
  • Proven effective written and verbal communication skills, including ability to conceive, develop, write, and manage proposals that result in action.
  • Near-expert-level facility with Microsoft 365, including the ability to create PowerPoint presentations and slide decks.

Preferred Requirements:

  • Master's degree
  • Prior management experience
  • Collaborative, self-directed, and able to effectively manage priorities and projects with a thoughtful approach to problem-solving.
  • Demonstrable ability to take initiative, exercise judgment, prioritize, manage multiple complex projects/assignments, and set/meet deadlines with an orientation toward results.
  • Routine and recent use of Salesforce/Blackbaud platforms and prospect research tools including DonorSearch, iWave, RelSci
  • Demonstrated history of effective project management.

Hiring Range:

  • Greater New York City Area (NY, NJ, CT residents): $176,525 - $225,080
  • All Other Locations (within approved locations): $121,400 - $185,725

As a candidate for this position, your salary and related elements of compensation will be contingent upon your work experience, education, licenses and certifications, and any other factors Healthfirst deems pertinent to the hiring decision.
