Full -Time Accounts Payable Associate

We are seeking a full-time Accounts Payable Associate to join HCZ’s dynamic and fast-paced Finance Department and help it carry out its responsibility for managing a $120 million annual operating budget.

Essential Duties and Responsibilities

  • Review invoices for appropriate documentation and approval prior to payment
  • Charge expenses to accounts and cost centers by analyzing invoices and expense reports
  • Prepare and process electronic transfers and payments
  • Prepare and perform check runs
  • Post transactions to journals, ledgers and other records
  • Work with Program Directors to process check requests and obtain adequate documentation when needed
  • Obtain appropriate signatures for checks and distribute checks accordingly
  • Respond to vendor inquiries
  • Reconcile vendor statements, research and correct discrepancies
  • Assist in year-end closing and cut-off process
  • Maintain files and documentation thoroughly and accurately, in accordance with HCZ policy and accepted accounting practices
  • Assist with other projects as needed

Qualification, Skills and Knowledge Requirements
  • 2+ years of Accounts Payable experience
  • Bachelor’s Degree with courses in accounting preferred
  • Must have strong work ethics
  • Must be well organized and a self-starter
  • Detail oriented, professional attitude, reliable
  • Proficient in Microsoft Excel and Word
  • Possess strong organizational and time management skills
  • Strong problem-solving skills, basic accounting principles knowledge, documentation skills, research and resolution skills, data analysis and multi-tasking skills
  • Thorough knowledge of applicable accounts payable/general ledger systems and procedures, and financial chart of accounts
  • Ability to communicate effectively verbally and in writing
  • Ability to interact with employees and vendors in a professional manner
  • Ability to work independently and with a team in a fast-paced and high-volume environment with emphasis on accuracy and timeliness
  • Ability to perform mathematical computations such as percentages, fractions, addition, subtraction, multiplication and division quickly and accurately
