Real Estate Administrative Assistant

Guggenheim Investments is seeking an exceptional Administrative Assistant to join its Real Estate team. Supporting the Senior Vice President of Real Estate and a group of Directors and Managers (5 Directors and 2 Real Estate Managers), this person will be responsible for managing and accomplishing multiple administrative and clerical tasks with minimal direction. The ideal candidate will have experience in Real Estate and/or Construction, and have basic proficiency in real estate language. The position is located in Frisco, Texas.

Specific responsibilities include:

  • Assist SVP, and Directors of Real Estate with travel and expense reimbursements
  • Manage Real Estate conference attendance for Real Estate Department
  • Document conference calls for expedited updates and Real Estate Director action items
  • Expedite project support and maintenance to include site and document creation, uploads, scheduling and special report creation
  • Real Estate Committee (REC) maintenance to include scheduling, calendar, outlook and reminders
  • Assist Real Estate Directors in REC or client package preparation and distribution
  • Assist Real Estate Directors in REC package edits for Lender Notebook submission
  • Maintain library of approved deals, and associated client approvals and potential new client information
  • Serve as real estate communication link between home office and field offices

Skills & experience required:

  • High School diploma with additional vocational or collegiate education preferred
  • Excellent instincts, common sense, and judgment around confidentiality given sensitive nature of content
  • Expertise in Microsoft Office, Outlook, PowerPoint, and Excel
  • Proficient in pulling demographic reports and comp aerials, as well as usng mapping software to create custom maps and aerials
  • Excellent writing skills and keen attention to detail when preparing books for clients, REC, banks, and internal presentations
  • Proficient troubleshooting computer and printer issues a plus
  • Good interpersonal, organizational, communication, and problem solving skills
  • Proactive & solutions-oriented; innovative
  • Learning agile, able to adapt quickly and appropriately in accordance with the constant evolution of the company and industry
  • Responsive to client needs with ability to work under pressure and/or time sensitive deadlines
  • Collaborative, energized by the open exchange of ideas
