LASO Provisioning & Supply Manager

Basic qualifications:

  • University degree or equivalent background in technical and/or economics/commercial
  • At least 5 years of experience in Manufacturing, R&D or Quality Control Environment (pharmaceutical as an asset)
  • Proven expertise in logistics and/or commercial-financial flows
  • Proven people management and social skills to foster teamwork and to coach collaborators
  • Data management through information management system
  • Working experience in a GxP regulated environment is an asset
  • People management experience (technicians and blue collars)
  • Expertise in LEAN, ADP or equivalent operational excellence methodology is an asset
  • Expertise in financial flows and regulations is an asset
  • Expertise in shipments rules for biologicals/pharmaceuticals products
  • Expertise in laboratory chemicals, biochemical, materials and supplies is an asset

Preferred qualifications:

  • Good communication (including presentation) and influencing skills
  • Certification in lean six sigma is an asset
  • Fluent in French
  • Fluent in spoken and written English (scientifically / technically / commercial) as well as conversational


Job Purpose:

1)Manages the Provisioning & Supply team in R&D LASO. This team is in charge of :

oCoordinate encoding in central systems, follow-up and invoicing regarding all R&D orders;

oCoordinate follow-up and invoicing regarding all R&D non-clinical shipments;

oReceive and deliver R&D external and internal (disposables, material and media) orders;

oManage local store rooms in disposables, material, media and office supplies;

oWaste management for R&D lab activities;

oGas supply management (O2, He, Ar, N2) and Liquid N2 supply for cryopreservation;

oPhysical inventory of dangerous chemicals in R&D labs;

oPhysical support to non-clinical shipments.

2)Has the accountability for the write-offs and dangerous chemicals inventory in R&D besides supported processes listed here above

Covered scope is Belgium R&D activities, except for non-clinical shipment (global).

Key Responsibilities:

1)Multidisciplinary team management (Clearly defines roles, responsibilities and team objectives and builds an environment that motivates people and promotes team work. Key human resources decisions, including hiring and headcount movements)

2)Ensures that services provided by the Provisioning & Supply team is fit for purpose and meets both external and internal requirements, including legal compliance and customer expectations.

3)Owns the central processes of orders (OPEX,CAPEX,services) treatment for R&D (Provisioning team) :

oCentralizes and encodes orders in central systems

oGets the necessary information from suppliers (quotation, delivery time, invoicing mode,…)

oEnsures the follow-up of suppliers efficiency

oEnsures the follow-up of Provisioning efficiency

oFollows the customers feed-back and take appropriate remediation actions

oCentralizes the invoicing of orders (OPEX,CAPEX,services) for R&D

4)Owns the central processes of reception and delivery of goods for R&D (Supply team):

owarehousing, storage, movement, supply and shipping of incoming materials

owastes physical management from the labs to site level

omerchandise/material handling and supply from reception to central and/or local storage rooms all across R&D labs

oR&D write-offs management

5)Owns the central processes of non-clinical shipments treatment for R&D (Provisioning team):

oGets the necessary information from suppliers (quotation, delivery time, invoicing mode,…)

oEnsures the follow-up of suppliers efficiency with the support of an external logistics platform

oOwns the remediation plans in case of issues with external partners

oCentralizes the invoicing of non-clinical shipments (OPEX,CAPEX,services) for R&D

6)Participates to budget management

7)Ensures and maintains the quality and the safety of operations :

oEHS: promotes EHS rules

oValidates process and equipments to ensure team and processes compliance

oSOPs : proposes improvements and owns service 'SOPs

oDocumentation : batch record or equivalent review and approval, retention time

oDeviations : investigates and coordinates

8)Presents and defends activities under his responsibility during audits

9)Contributes to technical evaluation for her/his field of activities in terms of processes, infrastructure and equipment

10)Is accountable for the performance of- and the processes owned by- Provisioning & Supply team (quality-delay-results interpretation)
