Basic qualifications:

Bachelor Business Administration & Facility management or equivalent

Preferred qualifications:

  • Master in Business Administration
  • Demonstrable people management skills
  • A minimum of 10 years' relevant work experience
  • Excellent communication skills and customer focus
  • Excellent negotiation skills.
  • Experience in working in a global environment
  • Experience with Finance and accounting, administrative processes and back-office

Responsible for the management and co-ordination of financial & administrative activities, effective and efficient management of all Procurement and Facility activities to improve efficiency and accuracy. Liaise with Vaccines Global on Communication and Risk and Compliance to ensure that Vaccines Amsterdam will meet its objectives in line with Global guidelines.

1.Manage all Vaccines Amsterdam site related issues with regards to Office management, Facility, Procurement, Communication, Risk and Compliance.

2.Manage all aspects of administration related issues on site level (P2P process) and escalates and resolves issues with Business Support Team in Zeist and/or Vaccines Belgium.

3.Manage and contribute to delivery of year end overall financials and business performance (cost savings, budget, annual reporting etc.)

4.Manage all Procurement related issues; identification and evaluation of third party providers for Vaccines Amsterdam, manage the procurement process for the selection of preferred suppliers for the various businesses, where these are not provided through national (GSK Zeist) or international (Vaccines Global) contracts.

5.Manage all Facility related issues and outsourced vendors (building, security, cleaning, catering) in co-operation with the Facility and Security Manager located in Zeist.

6.Project Manager for all activities related to Environment, Health and Safety.

7.Ensure that Vaccines Risk and Compliance rules & guidelines are implemented and that they are followed internally. Monitor processes to ensure that Rules & Guidelines are fulfilled in order to secure a stable and efficient environment.

8.Create visibility for the Amsterdam site and ensure the site participates with Global or Vaccine initiatives through Communications. Ensure Amsterdam is represented at the regular Communication meetings. Or participates in the Global Communications calls when needed and delegate follow-up on a local level.

9.If needed, will be invited to participate as a member of the Vaccines Amsterdam Management Team. Will develop and implement plans to ensure service levels are according to Vaccines standards.

10.Acts as project member for all Facility, Finance and Administration, Risk and Compliance and Communication projects, individually or in team.

11.Project member for all site related projects (for example to change the legal entity of Vaccines in Amsterdam to separate Vaccines legal entity (besloten vennootschap) in 2017).
