Senior Payroll Administrator

Summary:

This role includes day to day responsibility for the payroll & employee data administration function across the operations of Genesys Telecommunications Laboratories, Ltd – Philippines Branch and other Genesys entities in South East Asia. The role will also assist with Financial analysis, Insurance administration and other compliance activities related to entities in South East Asia.

Key Responsibilities:

  • Supply payroll and employee data to our external payroll processing outsourcer (ADP) and liaise with APAC Finance to ensure accuracy and completeness of monthly payroll processing.
  • Review weekly Headcount report issued by HR in the US for accuracy across the region and feedback any changes;;
  • Receive and process employee leave requests and ensure records of leave entitlements are accurately maintained;;
  • Work with the Human Resources team to maintain an Employee handbook which explains all relevant processes and procedures, employment conditions & benefit programs. Wherever possible, processes and procedures should be standardized across the region and consistent with Corporate guidelines;;
  • Administer employee benefit programs which will involve liaising with the vendors, reviewing preferred vendors, communication to employees, providing data for accounting / FBT / PAYG / External reporting purposes, etc. Programs include:
  • Medical Insurance);;
  • Life Insurance;;
  • Pension
  • Process commission and bonus payments including employee communication;;
  • Assist Financial Accountant in Manila with management of local taxation requirements for Australia (income Tax, FBT, Payroll Tax, PAYG Withholdings, Workers Compensation Insurance)
  • Prepare monthly payroll journals for Accounting team
  • Special Projects as required. Identified projects include:
  • Direct and maintain filing system for payroll records and supporting documentation (hard copy and digital / computer files);;
  • Build and maintain effective working relationships with APAC Finance &
  • Accounting Team members, HR Team in APAC and cross functional relationships within South East Asia;
  • Assist accounting function with Balance Sheet Reconciliations for payroll / benefit related accounts;;
  • Administer General Insurance programs;;
  • Work with Local Management team to ensure our business practices in
  • Philippines comply with the Corporate Ethics and Compliance standard
  • Assist in maintaining a system of internal controls to meet the Corporate compliance requirement with Sarbannes Oxley Act, with support from Corporate team;;
  • Establish and maintain local process to support the business operations;;
  • Maintaining written procedures for all recurring tasks adequate to guide another member of the Finance Team or a Contractor through the completion of the recurring monthly, quarterly & annual procedures

Minimum Requirements/ Desirable Skills:

  • 3 years experience in payroll processing and financial / management accounting in a multinational company. Previous experience working across geographies an advantage;
  • Tertiary qualifications in accounting, payroll or HR related subjects or working towards same;;
  • Strong computer literacy (SAP or similar Accounting System, Microsoft Office suite of products – excel & word, HR / Payroll related packages);;
  • Displays initiative in the carrying out of their duties, constantly looking for ways to improve processes to promote efficiency or strengthen control;;
  • Excellent communication & people skills and strong English language skills (written & spoken);;
  • Ability to work effectively within a small team;;
  • High degree of accuracy and reliability in data processing and financial analysis;;
  • Willingness to take on additional projects or workload from time to time;;
  • Ability to identify areas of concern and raise to appropriate level of management;;
  • Mature & professional approach to work to ensure the person respects the confidentiality of the data they are responsible for and has the confidence of other employees so they are willing to disclose such data;;
  • The nature of this position exposes the employee to a high level of company confidential and sensitive personal information. It is imperative that the person who fills this role respects the information they are privy to and discloses it only to those employees and external agencies that they are required to.Accounting degree and at least 5 years’ professional experience relevant to Financial Accounting and Business Tax Compliance (Updated in Philippine Tax laws)
  • Qualified Accountant preferred (CPA) with experience working with a multinational company or outside Philippines an advantage
  • Hands on role with broad range of responsibilities
  • Strong computer literacy (Netsuite or similar Accounting System, Microsoft Office suite of products, Electronic Banking package)
  • Ability to work and deliver within tight deadlines and willingness to work longer than standard hours to ensure a task is completed on time when required
  • Displays initiative in the carrying out of their duties, constantly looking for ways to improve processes to promote efficiency or strengthen control
  • Ability to work effectively with both internal and external customers
