Job Description: Coordinator, CPM (T&E)

We are looking for a resourceful and highly motivated individual to join our team and provide travel and expenses (T&E) administrative services to a number of remote-working internal clients. You will be responsible for ensuring consistency and accuracy of travel and expense processing in accordance with corporate policies, internal controls and guidelines.  This is an exciting opportunity to help identify opportunities for streamlining processes and improving operational efficiencies across the business.  In order to be successful, you will need to be able to build solid working relationships with key stakeholders by delivering exceptional customer service and exceed client expectations.  The ideal candidate would possess strong organization skills and attention to detail with a minimum of 2+ years demonstrated work experience in a fast-paced administrative capacity.  Experience of handling domestic and international travel bookings and visas.  Knowledge of using Concur would be an advantage.  Must be positive and proactive with excellent communication skills.  Knowledge and proficiency in Outlook, Word and Excel is required.

Administrative Services :  Provide prompt and efficient administrative and professional best practice services for travel and expenses. 

Travel Management:

  • Primary point of contact for travel bookings for 30+ internal clients
  • Work in collaboration with relevant team members to understand and anticipate travel needs and preferences
  • Responding quickly and proactively to all requests
  • Ensuring accurate and timely processing of all travel requirements making sure we are compliant with corporate policies and following T&SP best practices
  • Assisting with visa processing & providing visa guidance and support

 Expense Management:
  • Primary point of contact for expense management for 30+ internal clients
  • Proactive monitoring of Concur for expense submissions ensuring all expense deadlines are met
  • Processing expenses in a timely manner following corporate card expense guidelines
  • Collaborate with cross functional teams to resolve expenses issues

Other Responsibilities:
  • Managing centralized mailbox for travel & expense activities
  • Actively participates in meetings with team members working together to resolve issues
  • Collaborates with peers to ensure a united, consistent, and professional approach to supporting all internal clients
  • Continually reviews and evaluates our T&SP T&E processes & best practices, recommending actions to streamline and improve operational efficiencies if appropriate
  • Assists with travel and expenses training with new hires as requested
  • Provides back-up cover for team members at the direction of the Team Manager
  • Monthly metrics/reporting
  • Assist or lead T&SP T&E projects when required
  • Ad-hoc project support and other special assignments

Job Requirements :

  • Associate degree preferred; High school diploma or equivalent
  • Degree in Hospitality, Travel, Tourism, Business or relevant field an advantage
  • 2+ years’ experience in an administrative role
  • Experience handling travel and/or expense management – knowledge of Concur for travel & expenses beneficial
  • Experience supporting multiple associates preferable
  • Excellent interpersonal, collaboration, planning and time management skills
  • Ability to use own initiative and good judgement
  • Ability to prioritize own work and resources to complete tasks and projects on time as required
  • Organizational agility; able to adapt to changing circumstances (direction and strategy) while continuing to have professional and positive interactions
  • Strong working knowledge of Microsoft Office – proficiency with Microsoft Excel an advantage
  • Effective communication skills, both written and verbal and awareness of tone
  • Proven capability to work successfully in a team environment; build effective working relationships inside and outside of the group; accommodating work styles and perspectives of diverse individuals
  • High level of customer service awareness
  • Strong attention to detail and ability to multitask
