Executive Concierge


Purpose:

The Registration Team sets a standard for excellence in the execution of pre-conference, on-site and post-conference procedures and processes. As a team they exemplify confidence, professionalism and enthusiasm in everything they do. Evanta depends on the Registration Team to support, encourage and be a calm presence of mind.

Essential Functions/Major Responsibilities:

  • Manage the registration portion of the timeline and report progress to the Manager, Concierge Services

  • Schedule and facilitate all training for those assigned to travel on-site for registration

  • Registration preparation for all assigned events

  • On-site set up of all registration materials

  • On-site check in for all sponsors and attendees

  • Break-down of all equipment and materials post event

  • Registration certification training & development

  • Knowledge of all Evanta365 updates and capabilities

  • Upkeep of RSVP email inbox

  • Maintain the registration dashboard summary of all events

  • Perform post conference team follow up for all events

  • Archive all print material in storeroom

  • Management of registration supplies

  • Respond to all inquiries in a timely fashion


Secondary Responsibilities:
  • Assist with the production of Evanta company events

  • Continuous improvement of processes related to event operations


Qualifications:


Requirements:
  • Proficiency in the MS Office suite including Word, Excel and Power Point.

  • Attention to detail

  • Highly organized

  • Business travel 25% of time

  • Strong written and verbal communication skills

  • Project management skills

  • Multi-tasking and the ability to manage multiple deadlines

  • Teamwork

  • Ability to build and maintain relationships with high degree of professionalism

Education:
  • Bachelor’s degree preferred (not required)
Experience:
  • Previous events experience preferred (not required)

  • One to three years of applicable work experience.
