Facilities Coordinator


Gannett – Tyson’s Corner, VA

The Facilities Coordinator is responsible for overseeing and supporting the daily mail room operations for Gannett headquarters — meeting customer expectations for mail delivery, pick up and shipping, ensuring best rates and method with the highest level of customer service and accuracy. The Coordinator maintains vendor relationships, to include synergies with the building’s mailroom, and keeps current on industry standards and regulations. The Facilities Coordinator will also work with the facilities department team, reacting to shifting priorities, to support the general maintenance and day-to-day physical operations of the Gannett McLean office.


  • Lead in processing, tracking and delivering internal mail, packages and deliveries, reviewing for anything suspicious, in conjunction with the building mailroom, in a timely manner
  • Lead in processing, tracking and delivering external mail and packages in conjunction with building mailroom: Pouches, USPS, Overnight Carriers, Certified Mail
  • Reviews and processes all Invoices in conjunction with finance
  • Equipment oversight and maintenance to include mail meter machine and funding, tracking software system and contracted delivery systems
  • Oversees corporate Canon MFD meter reads
  • Researches unknown/missing mail to resolution
  • Schedules freight shipments
  • Keep up to date on postal regulations and shipment methods in order to provide accurate and appropriate information to customers
  • Leads vendor relationships
  • Provides support as needed to include facilities maintenance and conference and catering; knowledge of AV systems helpful


  • High school graduate
  • Some college or tech courses a plus
  • 3-4 years of mail corporate mailroom experience
  • 1-2 years in lead mailroom role
  • Exposure to facilities, conference & catering and AV departments
  • Tracking software, mail machine, MFDs – usage and trouble shooting
  • Mail, package and freight shipment methods – knowledge of
  • AV equipment & services – knowledge of
  • Conference & catering, facilities – exposure to
  • Excellent written and verbal communication skills
  • Ability to work independently
  • Ability to troubleshoot and make appropriate decisions
  • Ability to give clear and concise directions
  • Excellent customer service skills
  • Self-starter who will look to enhance the internal customer’s experience
  • Expert in usage of mailroom equipment and software
  • Proficient in windows-based software
  • Working knowledge of AV and MFD equipment a plus
