Temporary Leave of Absence Specialist

This position is responsible for the administration and communication of Leave of Absence, FMLA, State Specific LOA, and ADA Accommodation request processes. The Leave of Absence Specialist serves as the subject matter expert for all leaves and ensures compliance with federal, state, and local laws. The Leave Specialist is the point of contact to support FD employees through the leave of absence processes and provide guidance, support and feedback regarding leave of absence policies and procedures to our Human Resources Team company-wide.

  • Act as the point of contact for employees requesting leaves of absence, ensuring that all information regarding leave of absence policies and procedures is communicated to and discussed with employees including issues regarding FMLA, STD, leave time usage, benefits continuation payments, etc.
  • Coordinate and communicate employee leave of absence and information with the Benefits, Payroll, and HRBP departments
  • Serves as a resource to operational leaders, HR Partners and HR Leaders in determining appropriate steps and processes under the FMLA regulations and FD Policies
  • Investigate potential leave abuse
  • Analyze work processes to determine effectiveness and efficiency
  • Keep abreast of all federal, state, and local laws regarding leaves of absence
  • Keep abreast of changes and updates in Human Resources regulations
  • Prepare, plan, coordinate, and conduct employee information meeting and supplemental meetings
  • Verify Leave of Absence eligibility; confer with the Payroll and Benefits Departments as necessary
  • Monitor and track leave of absences; create and utilize tracking reports
  • Conduct and document Interactive Process meetings
  • Maintain medical information with confidentiality
  • Presents educational sessions and attends meetings as requested to address leave questions and issues
  • Provides recommendations based on consistent practice and in alignment with regulations and policies
  • Acts as a back-up to support
  • Ensures appropriate processing of benefits for duration of the leave including paid time off benefits (PTO/ETO/EMTO) and disability
  • Partners with the Benefits Specialists to ensure missed benefit premiums are handled appropriately
  • Performs regular audits and identifies trends related to leaves of absence; Provides reports and data on leave of absence usage as requested

  • Working knowledge of MS Office Word, Excel, Email, PeopleSoft/HRIS System


Minimum Requirements

  • Completion of High School Diploma; college degree preferred
  • Minimum two years of relevant experience and/or education in a Human Resources related field
  • Ability to seek solutions for customers in a fast-paced environment 
  • Must be a team player and customer focused
  • Knowledge and understanding of Human Resources laws, Federal, State, and local
  • Knowledge of FMLA and leave of absence regulations
  • Well-developed interpersonal skills to communicate effectively and with discretion, especially in dissemination of confidential information where required
  • Working knowledge of MS Office Word, Excel, Email, Kronos HRIS System
  • Bilingual (English and Spanish) is a must
  • Excellent communication and problem-solving skills 
  • Ability to adapt quickly to change 
  • Proven ability to meet and exceed productivity and quality monitoring goals
