Workplace Planning Coordinator

Facebook is seeking an experienced Workforce Planning Coordinator to support the Core App Team.
This position is full-time.


  • Moves
    • Meet with the Space Planning team regarding space moves and relocations
    • Communicate with the Core App Admin team where appropriate
    • Work with Facilities regarding placement of new furniture, dashboards, and special team requested
    • Perform monthly space audit of office space
    • Partner with Space Planning to update Space Captain's audit results in the system
    • Partner with Department Admins to keep abreast of (1) future move requests for incoming new hires or team transfers and (2) teams transferring out of product teams or within the Core App Team
    • Develop an understanding from the Workplace Planning Manager where and when additional space will be available for teams to expand and communicate to space captains accordingly, and develop any short term plans
    • Create and maintain an understanding of subteam boundaries for the department
    • Ensure Planning Group seat location mapping matches approved space allocation boundaries
  • Technology
    • Partner with the Core App Admins to update SpaceView data with correct employee data
    • SpaceView expert level knowledge of entering moves, reading occupancy/vacancy data, etc.
  • Communications and Meetings
    • Communicate re-org announcements to Workplace Planning Manager & Core App Admins, which may inform moves or updates to SpaceView
    • Communicate seat allocations and short term moves to all Core App team
    • May require responding to a groups pages to Core App employee inquiries
    • Attend & cascade important information & changes in Space Planning
    • Attend AllHands meetings with the Core App Admins
    • Attend monthly Core App Team space meetings with Workplace Planning and Core App leadership
    • Organize & set-up internal meetings & emails distributions, (i.e. move instructions, key dates, and other important information), with key stakeholders when planning a move that touches multiple product groups
  • Headcount Data
    • Work with CoreApp management, Core App Admins and Workplace Planning to collect embedded Headcount Data via Excel (Quip) docs or other tools provided by Workplace Planning and the business unit
    • Provide hiring projections to Space Planning team throughout the year, especially including embedded seat count and partnering with embedded
    • Core App Admins to ensure accuracy
    • Partner with Workplace Planning to solve variances between Finance data and Business unit forecast
  • Other
    • Act as the CoreApp point of contact and liaison interfacing with Space Planning and Workplace Planning
    • Manage Executive meeting rooms across Core App to include furniture, technology, AV and special request
    • Monitor Storage Closet Access/Use across Core App - source other locations when needed
    • Special Projects as assigned
Minimum Qualifications
  • 4+ years of experience as a Planning Coordinator
  • 4+ years of experience with facilities management, vendor management, and space planning
  • Experience with internal and external communications
  • Experience prioritizing multiple projects
  • Working knowledge of Excel (Quip) Documents and Spreadsheets
  • Knowledge of the internal space move system (SpaceView) and experience extracting important information for moves
  • Knowledge of Microsoft Office
