Administrative Assistant, Infrastructure Foundation

Facebook is seeking an Administrative Assistant to support 2-3 executives on our Infrastructure Foundation team. The ideal person in this role will need to be a master at handling complex details and logistics, be highly organized, a great problem-solver, exhibit sound judgment, have a no-job-is-too-small attitude and a desire to go above and beyond. Additionally, the person will have exceptional communication skills and the ability to be resourceful and build relationships across the larger organization.This position is full time and located in Menlo Park, California at Facebook’s Headquarters

Responsibilities

  • Manage complex calendars (internal & external meetings) for 2-3 executives
  • Regularly juggle and prioritize last minute requests and changes
  • Ability to multi-task and change direction quickly
  • Project manage all logistics for small and large team events, onsite and offsite
  • Prepare expense reports
  • Coordinate domestic and international travel arrangements
  • Build cross-functional relationships between departments
  • Ensure and maintain confidentiality of all appropriate communications and documentation
  • Communicate and work with external vendors and clients
  • General office duties as needed

Minimum Qualifications

  • 5+ years of experience providing administrative support and coordination to 1 or more executives
  • 5+ years of experience coordinating travel logistics on behalf of 1 or more executives
  • 5+ years of calendar management and expense report management for 1 or more executives
  • Experience with Microsoft Office and Outlook
  • Experience planning and executing events
  • Experience with space planning
  • Experience with confidentiality
  • Experience with juggling multiple projects
  • BA/BS
