Position Summary

This position contributes to F5's success by managing Reception Services, Shipping & Receiving, Corporate Mail Services, Conference Services, the Commute Transportation Program and overseeing the Emergency Response Preparedness Program for the Seattle Corporate Offices.

Primary Responsibilities

Supervise direct reports; Manage Commute Transportation Program; Develop and promote improvements in all areas of responsibility; Prepare monthly reporting

Management Responsibility : Employee management including but not limited to interviewing and hiring candidates for open positions, onboarding, establishing goals, assigning or delegating work, providing on-the-job training, giving guidance to staff, conducting performance evaluations, approving paid time-off (PTO), developing performance improvement plans, and taking disciplinary action.

  • – 2 direct reports (15% of time)
  • Actively develop and promote improvements in reception services
  • Maintain reception schedule
  • Cover reception desk as required due to absences
  • Conduct periodic audits of reception services to gauge performance
  • Shipping & Receiving / Mail Services – 2 direct reports (10% of time)
  • Actively develop and promote improvements in S&R / Mail Services
  • Ensure that duties associated with positions are being fully performed
  • Ensure coverage of services as required due to absences
  • Conference Services – 1 direct report (10% of time)
  • Actively develop and promote improvements in Conference Services
  • Ensure that duties associated with position are being fully performed
  • Ensure coverage of services as required due to absences
  • Transportation Services (60% of time)
  • Oversee the daily operations of the transportation program
  • Audit employee transportation options
  • Prepare monthly transportation report for payroll
  • Coordinate transportation options with employees
  • Process new hire transportation elections
  • Process transportation change requests
  • Establish transportation budgets
  • Coordinate annual transportation fair
  • Act as liaison with King County
  • Arrange / promote vanpool as a transportation option
  • Coordinate with 3rd party parking vendors for off-site parking
  • Interface with landlord regarding garage access, garage utilization, reporting
  • Consistently review and develop new parking options for Seattle F5 employees
  • Coordinate with other Elliott corridor businesses regarding transportation options
  • Conduct Commute Trip Reduction (CTR) survey as required
  • Consistently review opportunities to provide new transportation options to employees
  • Emergency Preparedness Programming (5% of time)
  • Develop comprehensive ERPP program for Seattle office
  • Communicate ERPP program
  • Conduct quarterly meetings with floor wardens and captains
  • Coordinate annual fire drill with landlord
  • Develop and maintain knowledge of corporate ERPP plans.
  • Responsible for upholding F5's Business Code of Ethics and for promptly reporting violations of the Code or other company policies.
  • Performs other related duties as assigned.

Knowledge, Skills and Abilities

  • Strong Microsoft Suite skills
  • Excellent customer service and follow-up skills
  • Understanding of Audio Visual technology and production support
  • Understanding of Events and Meetings best practices

Qualifications

  • Minimum 5 years of relevant experience
  • Transportation Services – 2+ years related experience
  • Reception services – 1+ years related experience
  • Program and Project Budgeting – 1+ years related experience
  • Supervisory Experience – 1+ years related experience
