Facilities Specialist

Summary of Major Responsibilities

The Facilities Specialist will be the principle contact and liaison between the Facilities Maintenance group and other departments supported by the Exact Sciences Corporate Facilities function. This position will review and schedule work requests through the Computerized Maintenance Management System (CMMS), plan and schedule preventative maintenance, produce estimates and maintain data on maintenance costs and labor requirements. This role will also maintain equipment history records in compliance with applicable regulations.

Essential Duties and Responsibilities

  • Fully develop work orders, schedule and manage assets through the CMMS.
  • Develop a daily work schedule to secure adequate resources to complete preventative, predictive, and planned maintenance.
  • Audit assignments and resources to ensure repair schedules and performance expectations are met; this includes maintenance and services team members, materials, documents, work orders, coordination and necessary approvals to perform work as planned.
  • Ensure all physical documentation of Facilities equipment records is recorded in the CMMS, and that all maintenance work including planned and unplanned work is scheduled through CMMS.
  • Ensure all labor hours, materials, and necessary notes or procedural changes associated with the work is accurately recorded within the CMMS, closed in a timely manner, and is organized and easily accessible for audits.
  • Manage and schedule all maintenance activities as well as coordinate the project workload.
  • Recommend the need for and aid in securing the scheduling of outside resources on an as needed basis.
  • Provide input to management and suggest improvements for efficiency.
  • Responsible for notifying supervisor of any problems or issues with inventory, planning and scheduling.
  • Coordinate maintenance schedules both internally and externally with vendors to maximize Facilities Maintenance efficiency.
  • Generate metrics reports and analyze trends for continuous improvement opportunities.
  • Maintain clear and complete records.
  • Manage and maintain the work flow process (work order creation, planning, scheduling, and execution to minimize downtime).
  • Assist, as necessary to maintain inventory for consumables, non-stocked parts, and tools to support work orders. This may include generating and expediting purchase requests.
  • Write and edit Standard Operating Procedures.
  • Ability to identify and prioritize multiple projects and perform work with a constant awareness of improving processes.
  • Ability to prepare reports, metrics, and other tracking tools.
  • Must be accurate and detail-oriented team player.
  • Demonstrated ability to maintain confidential information.
  • Excellent verbal and written communication skills.
  • Ability to interface and work effectively with all levels of the organization, vendors, customers, etc..

  • Support and comply with the company’s Quality Management System policies and procedures.
  • Regular and reliable attendance.
  • Ability to work normal schedule of Monday through Friday during normal business hours.
  • Ability to lift up to 50 pounds for approximately 5% of a typical working day.
  • Ability to work in front of a computer screen and/or perform typing for approximately 90% of a typical working day.
  • Ability to comply with any applicable personal protective equipment requirements.
  • Ability to travel approximately 5% of working time.
  • Ability to travel daily, locally between buildings.


Minimum Qualifications

  • Associates degree in mechanical, electrical or chemical engineering or related field; or high school degree/general education diploma and 2 years of relevant experience in lieu of degree.
  • 2+ years of CMMS experience in commercial, production and/or manufacturing setting.
  • 5+ years of maintenance planning/supervisory experience in a manufacturing or similar industry.
  • 2+ years of knowledge of skilled trades needed in order to estimate work hours and necessary materials, and cultivate and maintain vendor relationships.
  • 2+ years demonstrated experience as a journey level skilled trades person or above.
  • Authorization to work in the United States without sponsorship.
  • Possession of a valid driver's license, no more than two moving violations in the past 36 months, and no unresolved license revocation or suspension issues. 
  • Maintenance of sufficient driver’s insurance to satisfy any applicable state or local requirements and at least $250,000 per person and $500,000 per accident in coverage.
  • Experience analyzing and creating preventive maintenance procedures and practices.
  • Working knowledge of SAP.
  • Ability to identify and prioritize multiple projects and perform work with a constant awareness of improving processes.
  • Ability to prepare reports, metrics, and other tracking tools.
  • Must be proficient in using basic software applications including Microsoft Office.
  • Experience with Facility software tools: CMMS, CAFM, environmental monitoring, etc..
  • Proficient use of other electronic devices: tablet, smart phone, electronic tape measure, etc..
  • General understanding of parts, electrical, and mechanical equipment.
  • Understanding of mechanical and electrical systems including the ability to read blueprints and shop drawings. 

Preferred Qualifications

  • Bachelor’s degree in related field of study.
  • OSHA knowledge.
